Customer Operations Coordinator-Growth Path to Operations Leadership

Southwest Gases
Dallas–Fort Worth, Texas
Full-Time | Hybrid | DFW-Based
$50,000–$60,000 base salary + performance-based bonus

Southwest Gases is a fast-growing independent industrial gas distributor serving customers throughout Texas.

We are looking for the first employee to join our core team.

This is not a traditional administrative role.

We want someone who thrives in a fast-paced environment, takes ownership, solves problems before they become bigger problems, and wants the opportunity to grow into a significant operations leadership role as Southwest Gases expands.

Our revenue has approximately doubled over the past year, we are adding new customers every week, and we are already evaluating future expansion and acquisition opportunities.

The right person will work directly with company ownership, learn how the business operates, and gradually take ownership of the day-to-day activities required to keep customers, vendors, drivers, deliveries, and internal operations moving.

What You’ll Do

Responsibilities will include:

· Set up new customer accounts

· Create and process invoices

· Follow up on past-due accounts

· Obtain updated payment information

· Help resolve declined or expired payment methods

· Communicate with customers about orders and deliveries

· Coordinate with drivers and delivery companies

· Obtain and communicate delivery ETAs

· Work with existing vendors and suppliers

· Track open items through completion

· Maintain accurate customer information

· Help respond to inbound customer and prospect inquiries

· Work with AI-assisted tools to research inquiries and prepare responses

· Gather missing information from customers and prospects

· Identify problems before they become emergencies

· Help improve recurring processes and workflows

· Make sure important details do not fall through the cracks

As you learn the business and demonstrate good judgment, you will be given increasing authority to handle routine situations independently.

During your first several months, we expect you to ask questions and work closely with company ownership.

The goal is for you to progress from:

“What do you want me to do?”

to:

“Here’s what I think we should do.”

and eventually:

“I saw this becoming a problem, so I handled it. Here’s what I did and why.”

We are not looking to micromanage someone forever.

We want to train someone well enough that they become confident, capable, and trusted to make good decisions.

Experience We Value

Industrial gas experience is not required.

We are especially interested in candidates with experience in fast-moving environments such as:

· Commercial construction

· Construction project coordination

· Assistant project management

· HVAC or mechanical contracting

· Electrical or plumbing contracting

· Field service operations

· Equipment rental

· Logistics or dispatch

· Industrial distribution

· Building materials

· Similar industries involving customers, vendors, schedules, paperwork, money, and changing priorities

Growth Opportunity

This role is intended to grow with the company.

An exceptional employee may progress through roles such as:

Customer Operations Coordinator → Operations Manager → Branch Leader → Regional / Multi-Branch Manager

You will gain exposure to customer operations, logistics, financial operations, collections, sales support, vendors, AI, process improvement, branch operations, expansion, and acquisitions.

Compensation

$50,000–$60,000 base salary depending on experience, plus performance-based bonus opportunities.

Schedule & Location

This is a DFW-based hybrid position.

We will initially operate from a temporary office location in the northern Dallas area, where regular in-person meetings and hands-on training with company ownership will occur.

Normal business hours are 8:00 AM to 5:00 PM.

Some remote work may be appropriate as the employee becomes established in the role, but consistent availability during normal operating hours and regular in-person interaction will be required.

The assessment is not designed to test industrial gas knowledge. It is designed to understand how you think, prioritize, solve problems, communicate, and make decisions.

Pay: $50,000.00 - $60,000.00 per year

Application Question(s):

1. You discover that Southwest Gases regularly pays an outside vendor $250 for a service.

After working with the vendor for several months, you realize there may be another way to accomplish the same result for approximately $150.
The existing vendor is reliable and has provided good service.
What would you do?

2. It is 8:10 AM and you arrive to find the following situations:
A customer emails asking where today’s delivery is. The driver has not yet responded to your request for an ETA.
A regular customer has a declined credit card and currently owes Southwest Gases $4,800.
A new prospect submitted an inquiry overnight that appears to have significant potential.
A vendor needs confirmation from Southwest Gases by 9:00 AM or an order needed for this week will not ship.
Another customer left a voicemail asking for a copy of an invoice.
Owners are both unavailable until approximately 10:00 AM.

What would you do?
Describe the order in which you would handle these situations and explain why.

3. A good customer owes Southwest Gases $12,000 and is approximately 45 days past due.

The customer places another order and says the product is urgently needed. They tell you:
“We’ll get you paid next week. We really need this delivery.”
Owners are not immediately available.
What would you do?

4. A delivery was promised for today, but due to an unexpected issue it will now arrive tomorrow morning.
