Full Job Description

About the Opportunity

We are an established restaurant group operating three locations in Miami with annual revenue exceeding $20 million, known for delivering a seamless, warm, and personalized guest experience. We are adding an Accounting Assistant to our Corportae Team.

This is not a data-entry role. We are looking for someone who understands the restaurant business from the inside — who can read a prime cost, notice when labor percentage drifts out of range, and flag it before it becomes a problem. You will report directly to our Finance Lead and CEO, and you will supervise administrative staff.

What You'll Do

Accounts Payable & Vendor Management

Oversee invoice entry in Marketman and reconcile against the QuickBooks Accounts Payable report.
Process vendor payments by transfer and check, according to agreed terms, fund availability, and priorities set by leadership.
Track the full purchasing cycle — purchase order, goods receipt, and invoice entry — ensuring proper check and balance with the kitchen team.
Build and maintain vendor relationships: negotiate terms, monitor performance, and resolve discrepancies.

Payroll & Personnel

Process bi-weekly payroll in ADP, ensuring full compliance with tax and labor obligations.
Monitor hours worked and overtime through Toast reporting, keeping every employee within the weekly

Limits established for their position.

Reconcile and communicate daily tip and extra-tip distribution for FOH staff under the point-value system.
Support employee onboarding and offboarding: documentation, system activation and deactivation, employment agreements,and final payments.

Revenue & Reconciliation

Perform daily bank reconciliations.
Verify the match between Toast and QuickBooks for all revenue: cash, credit and debit cards, and bank transfers.
Reconcile cash on hand against recorded sales.

Reporting & KPIs

Prepare and present weekly financial reports: total sales (event and non-event), FOH and BOH labor cost,

Total purchases and invoices paid, depreciation analysis, and sales reporting by location.

Support the monthly close, including balance sheet and cash flow statement.
Track industry key indicators: food cost %, beverage cost %, labor cost %, prime cost, sales per seat, average

Check, and variance against budget.

Compliance

Keep licensing, permits, and regulatory documentation current for all locations.
Manage renewal dates and relationships with regulatory agencies.
Coordinate workers' compensation matters with the insurance broker.

What We're Looking For

Required

4 to 7 years of accounting experience in the hospitality industry (restaurants, hotels, or multi-unit food and beverage groups.
Proven proficiency in QuickBooks.
Hands-on payroll processing experience in ADP or an equivalent platform.
Experience with a restaurant POS system (Toast, Aloha, Micros, or similar) and with inventory control

Software (Marketman, Restaurant365, Compeat, or similar).

Solid working knowledge of Florida labor law as it applies to restaurants: tip credit, tip pooling, overtime,

Tipped minimum wage, and timekeeping requirements.

Advanced Excel skills (pivot tables, lookups, reporting models).
Fully bilingual in English and Spanish.
Legally authorized to work in the United States.
Ability to travel occasionally between our Coral Gables and Miami locations.

Preferred

Multi-unit experience in an operation of $10M+ in annual revenue.
Experience supervising administrative staff.
Experience supporting a new restaurant opening.
Familiarity with 7shifts or similar scheduling platforms.
