We are seeking a friendly and organized Receptionist/Administrative Assistant to join our team! Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle scheduling, calendar management, and appointment setting with precision and timeliness
Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
Support office management tasks such as ordering supplies, managing inventories, and coordinating mail services
Utilize productivity software including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication
Provide excellent customer support by addressing inquiries promptly and professionally

Skills

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tools
Excellent computer literacy with the ability to adapt to various software applications quickly
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
Exceptional phone communication skills with multi-line phone systems knowledge and phone etiquette awareness
Bilingual abilities are highly desirable to serve diverse client needs effectively
Personal assistant or medical receptionist experience preferred for handling sensitive information discreetly
Demonstrated time management skills to handle multiple responsibilities efficiently
