Position Summary
The Receptionist serves as the first point of contact for visitors, candidates, customers, vendors, and employees at Capital Precast. This position is responsible for providing professional front desk support, managing incoming calls and correspondence, maintaining office organization, coordinating office supplies and services, and providing administrative assistance to departments and leadership.
The Receptionist plays an important role in creating a welcoming and professional environment while helping ensure the day-to-day administrative needs of the office and plant operations are handled efficiently.

Education:

Primary Responsibilities:
Front Desk & Visitor Management
- Greet, screen, and direct visitors to the appropriate employee or department.
- Answer incoming telephone calls and route calls to the appropriate personnel.
- Assist visitors, vendors, candidates, and employees with general questions and information.
- Manage candidate arrival and interview flow, including notifying the appropriate hiring manager or interviewer.
- Maintain applicable safety standards for plant visitors by ensuring required safety forms are completed and appropriate Personal Protective Equipment (PPE) is provided before entering designated plant areas.
- Maintain a professional, organized, and welcoming front desk and reception area.
Company Correspondence & Mail
- Monitor and manage the company's general information email account.
- Receive, sort, and distribute incoming company correspondence.
- Prepare and coordinate outgoing physical correspondence and packages through UPS or other applicable mailing and delivery services.
- Ensure correspondence and deliveries are routed to the appropriate employees or departments in a timely manner.
Office Supplies & Inventory
- Order, receive, distribute, and restock office supplies.
- Conduct a weekly inventory survey of office supplies to identify items that need to be reordered.
- Maintain organized supply and storage areas.
- Assist with quarterly physical inventory as needed.
Office & Meeting Space Coordination
- Maintain office spaces and common areas to ensure they are organized and ready for daily business activities.
- Prepare and maintain spaces for:
- Company events
- Candidate interviews
- Meetings
- Employee trainings
- Assist with maintaining the general tidiness and professional appearance of office areas.
- Coordinate room setup, materials, supplies, and other needs for scheduled activities.
Office Equipment, Utilities & Vendor Coordination
- Coordinate repairs, service, or replacement of office equipment and utilities with appropriate service providers.
- Assist with service needs involving:
- Copy machines
- Internet services
- General office equipment
- Office utilities
- Communicate office cleaning needs and concerns with the company's cleaning service provider.
- Follow up with vendors or service providers as necessary to ensure office needs are addressed.
Departmental Administrative Support
- Provide general administrative assistance to departments throughout the company as needed.
- Assist Dispatch with PODs and related administrative needs.
- Assist Sales with RMAs and related documentation.
- Assist Accounting with data entry and other administrative tasks.
- Provide administrative support to leadership members as requested.
- Assistance may extend to the Plants and their management teams based on operational needs.
Company Events & Coordination
- Support the planning and coordination of large company events.
- Assist with event-related:
- Travel arrangements
- Materials and supplies
- Vendor and service coordination
- Help prepare event spaces and distribute materials as needed.
- Provide additional administrative and logistical support before, during, and after company events.
General Support
- Run company-related errands as needed.
- Assist employees and departments with general administrative requests.
- Support office and plant operations as business needs arise.
- Perform other duties and functions as assigned to support Capital Precast operations and company objectives.

- Ability to sit and work at a computer or front desk for extended periods.
- Ability to stand and walk throughout office and plant areas as necessary to perform job responsibilities.
- Ability to occasionally lift and carry office supplies, packages, event materials, and other items associated with the position.
- Ability to safely enter designated plant areas when necessary while following applicable safety requirements and wearing required PPE.
