About Us
Moon Design USA is a growing retail and commercial design, project-development, and management company. We work with international and U.S. clients on retail-space development, project coordination, and cross-border collaboration.

Position Summary
We are seeking a reliable, detail-oriented bilingual Administrative Assistant to support our West Covina office. This role is ideal for someone who is organized, professional, comfortable communicating with different parties, and able to help keep a growing office running smoothly.

Responsibilities

Receive, organize, and respond to routine emails; escalate important client or business matters promptly.
Answer incoming calls and accurately take or relay messages.
Coordinate basic communication with clients, commercial real-estate brokers, vendors, and service providers.
Assist with scheduling, meeting coordination, document preparation, filing, and office records.
Support communication and document coordination between the U.S. office, the company’s founder, and the China-based team, ensuring important matters are summarized and relayed promptly.
Maintain basic office operations, including mail handling, supplies, visitor arrangements, and a professional office environment.
Assist with simple research, follow-up tasks, and other administrative support as needed.

Qualifications

Fluent in both Mandarin Chinese and English, with clear written and verbal communication skills.
Previous administrative, office assistant, receptionist, customer service, or coordinator experience preferred.
Strong organizational skills, attention to detail, reliability, and discretion.
Comfortable using email, Microsoft Office or Google Workspace, and basic online tools.
Able to work independently, prioritize tasks, and communicate updates clearly.
Legally authorized to work in the United States.

Preferred Qualifications

Experience communicating with clients, vendors, brokers, or professional service providers.
Interest or experience in design, retail, commercial real estate, construction, or project coordination.
