Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring everything runs smoothly and efficiently. Your proactive approach and excellent communication skills will support our team, streamline administrative processes, and enhance overall productivity. This position offers an exciting opportunity to contribute to a vibrant work environment where your organizational talents and technical proficiency will shine.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee office management tasks such as filing, data entry, maintaining supplies, and organizing documents using spreadsheets and productivity software.
Coordinate calendar management and schedule appointments for team members, ensuring efficient time management.
Utilize computer skills to prepare Word documents, proofread correspondence, and perform data entry with accuracy.
Support customer service efforts by assisting clients via phone or in person, providing timely information and support.
Handle clerical duties including filing, photocopying, scanning, and maintaining organized records.
Assist with personal assistant responsibilities as needed to support team members’ administrative needs.

Qualifications

Proven office experience with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience with QuickBooks or similar accounting software is a plus.
Excellent communication skills in both English and bilingual capabilities are highly desirable.
Strong computer literacy including data entry, spreadsheets, and general technical proficiency.
Prior experience managing multi-line phone systems and front desk operations preferred.
Demonstrated ability to multitask efficiently while maintaining professionalism and positive customer interactions.
Knowledge of office management procedures combined with effective time management skills.
