Job Title: Plastic Surgery and Medspa Front Desk Receptionist

Job Summary:
We are seeking a friendly, organized, and professional Front Desk Receptionist to join our plastic surgery and medspa office on a part-time basis. As the first point of contact for patients, you will play a vital role in providing exceptional customer service and ensuring a positive patient experience. Your primary responsibilities will include greeting and checking in patients, scheduling appointments, answering phone calls, and providing general administrative support to the office staff. If you are a detail-oriented individual with excellent communication skills and a passion for patient care, we would love to hear from you. Special consideration will be given to those interested and adept in social media content production.

Responsibilities:
1. Patient Interaction:
- Greet patients warmly and ensure a friendly and welcoming atmosphere in the reception area.
- Register new patients, collect necessary information, and update patient records accurately.
- Schedule patient appointments and follow-up visits, while optimizing physician and nurse practitioner schedules for maximum efficiency.
- Answer phone calls promptly, screen and direct calls to the appropriate staff members.
- Provide information to patients regarding office policies, procedures, and services.
- Provide exceptional customer service, addressing patient inquiries and concerns in a professional and compassionate manner.

2. Administrative Support:
- Maintain a clean and organized reception area, ensuring a professional and presentable environment.
- Manage patient paperwork and electronic medical records, ensuring accuracy and confidentiality.
- Assist with insurance verification and obtain necessary authorizations for procedures.
- Coordinate with billing and coding staff to ensure accurate and timely submission of claims.
- Handle incoming and outgoing mail, as well as other general office tasks.
- Collaborate with the practice manager and other staff to ensure smooth office operations.

3. Appointment Management:
- Monitor and manage the appointment schedule, ensuring optimal utilization of time slots and minimizing patient wait times.
- Confirm patient appointments and provide necessary pre-appointment instructions.
- Coordinate with physicians and medical staff to accommodate urgent or emergent patient needs.
- Maintain a thorough understanding of the physicians' and providers schedules, including surgeries and other procedures.

4. Team Collaboration:
- Communicate effectively with physicians, nurses, and other staff members to ensure coordinated and efficient patient care.
- Collaborate with billing and coding staff to ensure accurate and timely submission of claims.
- Assist with training and onboarding of new front desk staff members, as needed. -Assist with online marketing patient before and after picture upload to keep web presence up to date
- Contribute to a positive and supportive work environment by fostering teamwork and cooperation.

5. Social Media Skills:

-Though not required for the position, special consideration will be given to those who are adept at social media content production. If you are able and interested in working with production of Instagram and potentially YouTube content let us know and compensation can be adjusted to account for this added ability.

Requirements:
- High school diploma or equivalent; additional education or certification in healthcare administration is a plus.
- Previous experience as a receptionist or in a customer service role, preferably in a medical or healthcare setting.
- Excellent communication and interpersonal skills, with the ability to interact effectively with patients, physician, and staff.
- Proficiency in using office equipment, such as computers, phones, and electronic medical record systems.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Attention to detail and accuracy in maintaining patient records and scheduling appointments.
- Knowledge of medical terminology, insurance verification, and HIPAA regulations is advantageous.
- Compassionate and empathetic nature, with a commitment to delivering exceptional patient care.
