Full Job Description

Project Coordinator – Construction

We are seeking an experienced and highly organized Project Coordinator to support our Project Managers and help ensure seamless coordination between the office, field teams, owners, and architects. This role also provides general administrative support to the office and plays a key part in maintaining efficient day-to-day operations.

Schedule & Location

Full-time, 40 hours per week
Hours: 7:30 AM – 3:30 PM or 8:00 AM – 4:00 PM
On-site position (no remote option)

The ideal candidate is professional, energetic, dependable, and eager to learn. Strong communication, organizational, and interpersonal skills are essential, along with the ability to manage multiple priorities in a fast-paced environment.

Key Qualifications & Skills

Exceptional organizational skills and attention to detail
Strong written and verbal communication abilities
Dependable with excellent attendance and punctuality
Critical thinking and problem-solving skills
Ability to work independently and efficiently with shifting priorities
High proficiency in Microsoft Word, Outlook, and Excel
Proficiency with Google Drive, DocuSign, and Zoom
Tech-savvy with the ability to quickly learn new software
Familiarity with Sage Accounting Software preferred
Proficiency with Bluebeam preferred
5 years of experience in a construction office environment

Core Responsibilities Project Coordination & Administrative Support

(Shared with another Project Coordinator)

Provide administrative support to Project Managers
Schedule meetings and appointments
Order project materials and supplies
Prepare purchase orders, invoices, and change orders
Manage project submittals and documentation
Maintain and organize project files in Google Drive
Prepare Gantt schedules and mark up PDF plans
Send invitations to bid, assemble RFIs, and distribute addenda

General Office Administration

Process and tag incoming invoices (email and mail)
Manage incoming phone calls and office phone system
Update contact information in Outlook and Sage
Assist with IT coordination and marketing materials
Oversee company cell phones
Maintain notary license
Handle internal and external mail, shipping, and deliveries
Maintain and secure insurance certificates

Accounting Support (Under Controller’s Oversight)

Enter invoices into Sage
Reconcile credit card and vendor statements
Manage certified payroll documentation
File accounts payable invoices
