Full Job Description

Role Mission/Summary:

Prepare accurate billings and actively manage all accounts receivables in support of cash flow, project financial visibility, and customer requirements. This role owns the execution of project billings, AIA documents, sworn statements, AR aging management, and collection follow-up in coordination with PMs, Controller of Operations, and VP of Finance. In addition, this role provides service billing continuity, backup, and overflow support.

Core Responsibilities:

These responsibilities define how the role delivers the outcomes above

1) Construction Billing Accuracy and Timeliness

Prepare project billings, AIA billings, sworn statements, and related billing documents
Coordinate with PMs for percent complete, schedule of values, change order status, retainage, and supporting documentation
Validate billing information against project records, contract/customer requirements, and ERP data
Submit billings according to customer directives, contract deadlines, portals, email instructions, or other requirements

2) Accounts Receivable Aging and Collections Execution

Review AR aging and identify past-due, disputed, or at-risk balances
Track retainage balances and coordinate the release of retainage with PMs
Contact customers regarding payment status and document follow-up
Coordinate with PMs and Controller of Operations to resolve customer disputes, missing paperwork, billing corrections, or operational blockers
Escalate significant collection risks to Controller of Operations

3) Project Billing Coordination with Operations

Communicate billing requirements and deadlines to PMs and appropriate operational stakeholders
Identify missing or late operational inputs that prevent billing and escalate through Controller of Operations
Coordinate with Contract Administrator on contract billing requirements, waiver/NOF-related issues, and customer documentation needs where applicable
Support PMs in understanding how billing inputs affect cash flow, WIP, and project financial reporting

4) ERP Billing Data Quality and Process Improvement

Maintain billing data, customer billing requirements, and related project billing records within ERP/accounting systems
Identify billing process breakdowns, system issues, or recurring documentation gaps
Work with Controller of Operations to improve billing workflows and training

5) Service Billing Continuity and Support

Provide backup and overflow support for service billing activities as needed
Prepare and process service invoices accurately and timely in accordance with established billing procedures and customer requirements
Review service billing information and supporting documentation for completeness and accuracy prior to invoicing
Coordinate with service/operations personnel to resolve missing information, documentation, or billing issues that could delay service invoicing
Provide coverage for service billing responsibilities during employee absences, workload fluctuations, or other periods requiring additional support

Leadership Responsibilities:

This role does not have formal direct reports unless assigned. The role is expected to lead through ownership of assigned work, clear communication, follow-through, and support of cross-functional Team Members.

Requirements:

To successfully perform in the role, below are the essential skills, requirements and general working conditions.

Essential Skills:

Strong construction billing knowledge, including AIA/progress billing, retainage, sworn statements, customer portals, and documentation requirements
Ability to understand and apply established service billing procedures, customer requirements, and supporting documentation requirements
Strong communication and follow-up skills with customers, PMs, and internal stakeholders
Ability to read project/customer billing requirements and maintain organized billing records
Strong ERP/accounting system and Excel skills

Work Experience Requirements:

3+ years of accounts receivable, construction billing, project accounting, or related accounting experience preferred
Experience with AIA billing, retainage, sworn statements, customer portals, and project-based billing strongly preferred
Experience working with PMs or operational teams preferred

Education/Certifications/Licensing Requirements:

High school diploma or equivalent required
Associate degree, accounting coursework, or equivalent experience preferred
ERP/accounting system training preferred

Work Conditions:

Primarily office-based position with regular use of accounting, ERP, Microsoft 365, email, and related business systems.
Requires sustained attention to detail, recurring deadlines, and the ability to prioritize work during close, payroll, billing, audit, and reporting cycles.
Requires professional communication with internal Team Members, vendors, customers, subcontractors, union representatives, and external advisors as applicable
