Full Job Description

Summary:

Seeking a Research, Database, and Advancement Services Manager with Raiser's Edge experience to drive fundraising and stewardship success by developing and executing smart strategies for data hygiene, prospect management, research, dashboards, and portfolios. Reporting to the Director of Development, this position will be instrumental in shaping clear protocols, developing processes, and setting objectives that align with the goals and needs of the mission of the Diocese and the development office. Excellent project management, verbal and written communication, interpersonal, and critical thinking skills. Lead database conversion and implementation project.

Data Management

Stays up to date on the latest database product features, proposes enhancements to optimize use and recommends internal procedural improvements.
You'll take the lead on researching, implementing, and managing software updates or CRM transitions to ensure systems run smoothly and data stays accurate.
Perform regular database audits and establish clear processes to maintain data integrity.
Responsible for data integrity and health updates for duplicate identification, returned mail, and merge as needed.
Conducts database clean-up, including reconciling constituent codes, removing/combining duplicate records, standardizing addresses, and restructuring relationship codes to match needs of development and alumni functions. Runs quarterly database health tools to update addresses, phone and email records, and deceased information.
Ensure compliance with policies while customizing systems as needed - everything from managing user accounts to updating permissions.
Database entry, management, and reporting.
Develop and maintain relationships with vendors (including The Raiser's Edge and Blackbaud Merchant Services) to evaluate new software upgrades and modules, resolve system support issues and escalate software support questions.
Oversee all imports and exports of data from online and event donations.
Responsible for operational functions: validating daily gift/batch processing, generating mailing lists based on selected parameters for fundraising and stewardship purposes, setting up and refreshing gift receipt/acknowledgement letters in the system for automated generation, generating reporting for monthly pledge reminder and past due, annual donor tax statement, set up of gift club level.
Manage Constituent records and build lists.
Segmentation.
Sets up online events, registration, and donation forms.

Reporting and Analysis

Responsible for creating complex reports, queries, exports, and imports to the database, building dashboards, fundraising reports, and comparisons to support the Development office.
Creates internal and external quantitative fundraising dashboards and reports to view and monitor progress toward goals. Ensures systems and processes are aligned to ensure accurate, consistent, and timely data reporting for Campaigns, Funds, and Appeals.
Communicate with the Director of Development to resolve technical problems or adjustments that must be made to ensure accurate processing of gifts.
Generate acknowledgment letters and pledge reminders.
Experience with Blackbaud CRM, including creating complex queries.

Prospect Research

Prepare detailed, actionable prospect profiles that give the Development Office the insights they need to build meaningful donor relationships.
Put together major donor portfolios
Track moves management

Training and Development

Serves as the first line of support for technical needs, troubleshoots issues, and engages in external support when needed to support technology-related issues.
Manage the policies and processes to ensure the successful creation and running of queries for direct mail and email programs, stewardship mailings, event invitations, and requested Advancement-related reports.
Work with the Development director to implement SOPs for data entry and creation of new Constituent records. Oversee the policies and processes for maintaining data integrity, compliance, security, privacy, and gift information.
Train new staff members on fundraising systems and tools, making sure that everyone feels confident in using them effectively.

Professional Development

Stay on top of industry's best practices, seek out professional development opportunities, and keep our Advancement efforts current.
Can recommend and implement best practices to elevate development efforts.
Perform additional duties as required.

Requirements

Catholic in good standing
Hold a bachelor's degree in a relevant field and have five years of experience in database management and prospect research, ideally in an educational or non-profit setting.
Experience managing CRM platforms, hands-on experience in Blackbaud Raiser's Edge/NXT, Salesforce, Banner, or Virtuous for non-profits strongly preferred.
Understand how databases work, allowing you to navigate and analyze data efficiently.
Communicate effectively, whether you're collaborating with a team or presenting in front of large groups.
Exercises discretion in handling confidential materials.
Must have a working knowledge of non-profit fundraising and understand the requirements of accepting, processing, receiving, and acknowledging donations.
Knowledge and familiarity with prospect research, major gift solicitation, annual, legacy, and event systems management.
