Full Job Description

Overview

We are seeking a dynamic and organized Customer Service/Office Helper to join our team! This role is essential in creating a welcoming environment for clients and visitors while supporting daily office operations. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to handle a variety of administrative and customer service tasks. Candidate must have experience using Quicken/QuickBooks. Experience with V-lookup and Pivot Tables is a plus. This paid position offers an exciting opportunity to develop your office management skills while contributing to a positive and efficient workplace atmosphere.

Duties

Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
Manage multi-line phone systems, answer inquiries, direct calls, and relay messages accurately and promptly
Assist with data entry, filing, and maintaining organized records using Microsoft Office and Google Workspace tools
Support bookkeeping activities using Quicken/QuickBooks, including invoicing, expense tracking, and basic account reconciliation
Handle calendar management and scheduling for team members, including setting appointments and reminders
Perform general clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies
Provide excellent customer support by addressing questions or concerns efficiently and courteously

Qualifications

Proven experience in office management, clerical work, or administrative support in a professional environment
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with Quicken/QuickBooks or similar bookkeeping software is highly desirable
Excellent phone etiquette with experience managing multi-line phone systems in a busy office setting
Bilingual abilities are a plus to assist diverse clients and team members effectively
Exceptional organizational skills with the ability to prioritize tasks and manage time efficiently
Attention to detail for proofreading documents, maintaining accurate records, and ensuring quality control
Previous personal assistant or customer service experience is advantageous but not required
