Full Job Description

About the Role

We are hiring an experienced Executive & Personal Assistant to support a successful business owner and real estate executive in Norcross, Georgia.

This is a high-trust role combining executive administration, business coordination, event support, and limited personal assistance. The right candidate will be highly organized, proactive, discreet, and comfortable managing shifting priorities without constant direction.

You will help manage the executive’s time, communications, meetings, commitments, and day-to-day logistics. You will also assist with occasional personal responsibilities that allow her to remain focused on business leadership, client service, and growth.

This is not a traditional nine-to-five administrative role where every day follows the same schedule. The ideal candidate can create structure in a fast-moving environment, anticipate needs, and follow responsibilities through to completion.

Responsibilities

Manage a complex calendar, including meetings, appointments, events, travel, preparation time, and schedule changes.
Monitor email and messages, identify priorities, draft responses, and track follow-ups.
Prepare meeting agendas, materials, notes, decisions, and action items.
Serve as a professional point of contact for team members, clients, vendors, and business partners.
Determine what can be handled independently, redirected, or escalated to the executive.
Coordinate professional events, including venues, vendors, invitations, RSVPs, timelines, budgets, and day-of logistics.
Maintain contacts, recruiting follow-ups, and pipeline activity in the CRM.
Coordinate travel, business appointments, photography, closings, and other administrative logistics.
Work with the Marketing Director on scheduling, approvals, event promotion, and related coordination.
Prepare simple Canva graphics or administrative materials when needed.
Assist with personal scheduling, reservations, purchases, pickups, returns, and occasional errands.
Maintain strict confidentiality regarding business, financial, client, family, and personal information.

Required Qualifications

At least three years of experience supporting an executive, business owner, entrepreneur, or senior leader.
Direct experience managing calendars, communications, meetings, and follow-up responsibilities.
Strong written and verbal communication skills.
Excellent organization, prioritization, and time-management skills.
Sound judgment and the ability to work independently.
Experience coordinating events, travel, projects, or complex logistics.
Ability to remain calm and solutions-focused when plans change.
Comfort providing both executive business support and limited personal assistance.
Reliable transportation and the ability to work on-site in Norcross.
Availability for occasional evening or weekend events.
Ability to handle highly confidential information with discretion.

Preferred Qualifications

Previous Executive Assistant, Personal Assistant, or senior administrative experience.
Experience supporting a founder or small-business owner.
Experience using Google Workspace or Microsoft Office.
Familiarity with CRM systems, scheduling platforms, Canva, or task-management tools.
Experience in a confidentiality-sensitive environment such as legal, finance, healthcare, hospitality, private client services, or executive operations.

Real estate administrative experience may be helpful, but it is not required.

Schedule

The role will include agreed-upon weekday anchor hours, in-office availability in Norcross, and some flexibility for remote administrative work.

Occasional evening or weekend availability will be required for events. Specific schedule expectations will be discussed during the interview process.

This position is not open to active real estate agents or individuals currently operating or building a real estate sales business.
