Patient Access Coordinator – Arkansas Otolaryngology (ENT) ClinicPosition

Title: Patient Access Coordinator

Position Summary: The Patient Access Coordinator serves as the primary point of contact for patients within a busy Otolaryngology (ENT) clinic. This role is responsible for facilitating a seamless patient experience by preparing patient charts, reviewing account balances, coordinating referrals, scheduling appointments, answering incoming calls, and managing patient check-in and check-out processes. The Patient Access Coordinator ensures accurate patient information, efficient clinic operations, and exceptional customer service while maintaining compliance with healthcare regulations.

Essential Duties and Responsibilities

Patient Registration and Check-In

Welcome and assist patients in a courteous, professional, and compassionate manner.
Verify and update patient demographics, insurance information, and required documentation.
Collect copayments and inform patients of outstanding balances in accordance with clinic policies.
Ensure all registration forms, consents, and insurance information are complete and accurate.
Maintain patient confidentiality in compliance with HIPAA regulations.

Chart Preparation and Review

Prepare patient charts before scheduled appointments.
Verify referrals, authorizations, insurance coverage, medical records, and diagnostic reports are available and up to date.
Review patient accounts for outstanding balances and communicate financial responsibilities to patients.
Maintain accurate patient records within the electronic medical record (EMR) system.

Appointment Scheduling

Schedule, reschedule, and confirm patient appointments.
Coordinate provider schedules to maximize efficiency and patient access.
Ensure appointments are scheduled appropriately based on visit type and provider requirements.
Contact patients regarding cancellations and scheduling changes.

Patient Check-Out

Schedule follow-up appointments.
Process payments and provide receipts when applicable.
Ensure patients receive necessary instructions and possible follow up appointment information before leaving the clinic.
Verify all required documentation is completed following the visit.

Referral Coordination

Process incoming referrals accurately and timely.
Obtain and track insurance authorizations as required.
Communicate with referring providers, other specialty offices, and insurance carriers regarding referral status.
Maintain accurate referral documentation within the EMR system.

Telephone and Communication Management

Answer and route incoming calls professionally and efficiently.
Assist patients with appointment scheduling, general inquiries, and clinic information.
Take and relay messages accurately to providers and clinical staff.
Provide exceptional customer service during all patient interactions.

Administrative and Operational Support

Scan, upload, fax, and file patient documents as needed.
Support daily clinic operations to ensure efficient workflow and patient access.
Adhere to all organizational policies, procedures, and regulatory requirements.
Perform other duties as assigned to support the practice.

Required Qualifications

High school diploma or equivalent required.
Previous healthcare, medical office, patient access, and customer service experience strongly preferred.
Knowledge of medical scheduling, insurance verification, referrals, and patient registration processes strongly preferred.
Proficiency with electronic medical records (EMR) systems and Microsoft Office applications.
Strong communication, organizational, and multitasking skills.
Ability to handle sensitive patient information with professionalism and confidentiality.
