Full Job Description

Position Summary

The Staff Accountant is an entry-level role responsible for performing day-to-day bookkeeping and accounting support tasks, including processing invoices, managing accounts payable, assisting with billing and collections, and maintaining accurate financial records. This position is well suited for someone early in their accounting career who has a solid grasp of bookkeeping fundamentals and is eager to build hands-on experience. Strong attention to detail, organization, and reliability are essential to success in this role.

Essential Duties and Responsibilities

Enter and process vendor invoices accurately and on time, including verifying amounts, coding to the correct accounts, and obtaining approvals.

Manage day-to-day accounts payable, including matching invoices to purchase orders and packing slips, and preparing payments (checks, ACH, or wire).

Prepare and send customer invoices, monitor accounts receivable, and follow up on past-due balances.

Record daily financial transactions and maintain up-to-date, organized bookkeeping records in the accounting system.

Reconcile bank and credit card statements and petty cash on a regular basis.

Maintain organized vendor and customer files, including W-9s, invoices, receipts, and supporting documentation.

Respond to vendor and customer inquiries regarding invoices, payments, and account balances.

Assist with basic expense report review and processing.

Support month-end tasks by gathering documentation, pulling reports, and helping prepare simple reconciliations.

Assist with data entry and filing to support the broader accounting and finance team.

Perform other bookkeeping, clerical, and administrative duties as assigned.

Education and Experience

Associate's degree in Accounting, Business, or a related field, OR a bookkeeping certification (e.g., Certified Bookkeeper) required.

Approximately 1 year of bookkeeping, accounts payable, or general accounting experience preferred; internship or coursework experience will be considered.

Knowledge, Skills, and Abilities

Working knowledge of basic bookkeeping principles, including debits/credits, invoicing, and account reconciliation.

Comfortable with data entry and maintaining accurate, well-organized financial records.

Basic proficiency in Microsoft Excel (formulas, formatting) and other Microsoft Office applications.

Familiarity with accounting or bookkeeping software (e.g., QuickBooks or similar) preferred; willingness and ability to learn new systems required.

Strong attention to detail and accuracy, with a commitment to meeting deadlines.

Good organizational and time-management skills, with the ability to manage multiple routine tasks.

Clear written and verbal communication skills, with a professional and courteous manner when interacting with vendors and customers.

Trustworthy and able to handle confidential financial information appropriately.

Willingness to learn, take direction, and grow into additional accounting responsibilities over time.

Physical Demands and Work Environment

Primarily an office environment; occasional visits to plant/production floor may be required.

Prolonged periods of sitting and working at a computer.

Occasional lifting of office supplies or files up to 15 lbs.
