Job description

We are a pristine Cosmetic Surgery & Medical Spa in Newport Beach, California, looking for a full-time Medical Assistant / Front Office concierge with amazing communication and medical assistant skills.

We are searching for someone with a passion for plastic surgery to work with our fast-paced dynamic team. Experience required in plastics / surgery center. Candidate must take initiative, be adaptive, team player, communicative, and have excellent customer service skills. Passionate about plastics and skin care!

The ideal candidate is a polished professional with a strong work ethic and both exceptional interpersonal and organizational skills. The role requires a detail-oriented person, team player, and the ability to multi-task and prioritize.

Overview:

Dual Medical Assistant / Front Office position including but not limited to:

Medical Assistant responsibilities for clinical care.

Assist the Patient Care Coordinator (PCC) as needed as well as front-office support. The daily duties will vary as needs arise.

Complete all MA tasks, in addition, but not limited to:

· Assist with the surgery scheduling process.

· Assisting surgeons with post-op visits.

· Assist with surgical duties as needed and directed by the doctors.

· Perform Pre-Op appointments and provide patients with all necessary pre and post-surgery care.

· Sterilize surgery kits (autoclave) and ensure suture removal kits are available daily.

· Review labs required for surgery clearance. When labs or other orders are not within range. MA to communicate immediately to doctors.

· Order any additional surgical supplies for specific surgeries i.e., garments, etc.

· Order and maintain surgical supplies as needed for in-house surgical room.

· Manage Breast Implant Warranties (Sientra / Surene/ Naturelle)

· Vitals, dressing changes, suture and drain removal.

· Communicating with doctors, nurses and medical staff - oral and written.

· Prepping exam rooms, rooming patients and maintaining office flow.

· Collecting detailed patient medical information.

· Prepping and updating patient surgical charts.

· Maintain medical Records including scanning, updating, and record-keeping.

· Respond to inquiries by patients and prospective patients in a courteous manner.

· Photocopy materials as necessary, maintain supply of forms and charts as needed.

· Maintain client confidentiality in conformance with company policies, state laws, and federal regulations.

· Keep medical office supplies adequately stocked by anticipating inventory needs and placing orders.

· Responsible for keeping the patient treatment areas clean and organized.

· Monthly Inventory for the surgical room.

· Pre-Op patient check in for day of surgery and assist as needed.

· Answer phones and assist with scheduling/rescheduling appointments.

· Communicate and coordinate any changes in the schedule to clinicians and office staff.

· Send one set of before/after photos to Marketing Director each week (one patient per week with signed consent on file).

· Other duties as assigned.
