Royal Pavement Solutions is seeking a highly organized, detail-oriented Office Manager with bookkeeping experience to oversee the daily operations of our office while supporting the company's bookkeeping and administrative functions.

We're looking for someone who will become the backbone of our daily office operations and help deliver the exceptional customer experience our clients have come to expect. This position combines office management, bookkeeping, customer service, and administrative support into one critical role. Every day is different, and you'll play an essential role in keeping our office organized, supporting our team, and helping our company continue to grow.

The ideal candidate thrives in a fast-paced environment, takes pride in creating organization, enjoys balancing multiple responsibilities, and communicates professionally with customers, vendors, and coworkers. We're looking for someone who takes ownership of their work, values accuracy, and has the bookkeeping experience necessary to confidently support the company's daily accounting operations.

Office Management

Oversee the daily operations of the office while maintaining a professional, organized, and efficient work environment.
Serve as the primary point of contact for incoming phone calls, website inquiries, visitors, and general office communications.
Deliver exceptional customer service and ensure every interaction reflects the professionalism of Royal Pavement Solutions.
Manage inbound customer inquiries and ensure timely followup and proper routing to the appropriate department.
Coordinate office operations, including office supplies, vendors, meetings, travel arrangements, mail, and general administrative functions.
Maintain organized electronic and physical records, customer documentation, permits, and company files.
Provide administrative support to leadership, sales, and operations as needed.
Communicate professionally with customers, vendors, municipalities, and internal team members to ensure information is organized and handled efficiently.

Bookkeeping

Process Accounts Receivable, including customer invoicing, posting payments, maintaining customer accounts, collection followup, and assisting with customer account reconciliations.
Process Accounts Payable by receiving vendor invoices, verifying billing accuracy, entering invoices, preparing payments, and maintaining organized vendor records.
Maintain accurate customer and vendor records, including tax exemption certificates, supporting documentation, and financial files.
Assist with bank account and credit card reconciliations while ensuring financial records remain accurate and up to date.
Support the Finance Manager with daily bookkeeping functions, monthend administrative accounting tasks, financial reporting preparation, and other accounting responsibilities as assigned.
Maintain the accuracy, organization, confidentiality, and integrity of the company's financial information.
Identify discrepancies, resolve routine accounting issues, and proactively communicate items requiring management attention.
Continuously look for opportunities to improve administrative and bookkeeping processes that increase efficiency and accuracy.

Required Qualifications

Minimum of two years of office management, bookkeeping, or administrative experience.
Bookkeeping experience, including Accounts Payable and Accounts Receivable.
Associate's or Bachelor's degree in Accounting, Business Administration, or a related field preferred, or equivalent bookkeeping experience.
Strong customer service and communication skills with the ability to professionally interact with customers, vendors, and team members.
Excellent organizational skills with exceptional attention to detail.
Ability to prioritize multiple responsibilities and adapt in a fastpaced office environment.
Proficiency with Microsoft Office; experience with accounting software is preferred.

Preferred Qualifications

Experience within the construction, contracting, or service industry.
Experience managing a multiline phone system and customer inquiries.
Experience with customer invoicing, payment processing, and collection followup.
Experience coordinating office vendors, purchasing, travel, permits, or general office operations.
