Full Job Description

Position Summary
We are seeking an exceptional Executive & Personal Administrative Assistant to provide comprehensive organizational and administrative support to a busy physician executive, entrepreneur, and community leader. The successful candidate will coordinate professional, personal, family, real estate, and community-related responsibilities with discretion, maturity, efficiency, and excellent judgment.

Primary Responsibilities

Executive Calendar & Schedule Management

· Manage a demanding professional, personal, and family calendar.

· Coordinate meetings, appointments, travel, speaking engagements, and business commitments.

· Schedule medical, dental, educational, and extracurricular appointments for family members.

· Coordinate home maintenance, repairs, contractors, and service providers.

· Anticipate scheduling conflicts, recommend solutions, and ensure timely follow-up.

· Maintain reminders, deadlines, recurring obligations, and action-item tracking.

Personal & Family Administration

· Coordinate family schedules, school-related logistics, and household appointments.

· Manage invitations, RSVPs, social engagements, and the family social calendar.

· Organize seasonal greeting cards and maintain accurate contact and mailing lists.

· Arrange birthday, anniversary, congratulatory, sympathy, holiday, and other occasion gifts.

· Assist with occasional errands and time-sensitive personal tasks.

Special Projects & Event Support

· Assist with planning and execution of special projects, including the upcoming ANPA Gala and other community or nonprofit events.

· Coordinate vendors, venues, stakeholders, timelines, budgets, invitations, and follow-up activities.

· Track deliverables, meeting decisions, deadlines, and unresolved action items.

· Prepare meeting agendas, summaries, reports, presentations, and professional correspondence.

· Represent the principal professionally when communicating with guests, vendors, business leaders, physicians, and community members.

General Administrative Support

· Draft and edit professional emails, letters, invitations, reports, and other correspondence.

· Conduct research and present findings in a clear, organized format.

· Maintain orderly digital files, records, contact lists, and reference materials.

· Assist with travel planning, itineraries, reservations, and related logistics.

· Handle confidential information with complete discretion.

AI & Technology Expectations

The routine and responsible use of artificial intelligence and modern productivity tools is an essential function of this position. The assistant will be expected to use AI to improve accuracy, organization, communication, and efficiency while maintaining confidentiality and exercising independent judgment.

· Draft and refine correspondence, meeting summaries, reports, invitations, and presentations.

· Organize information, create checklists, and convert discussions into action plans.

· Support research, scheduling, event planning, and project-management workflows.

· Identify repetitive administrative tasks that can be streamlined or automated.

· Learn and adopt new technology promptly as work processes evolve.

Required Qualifications

· Bachelor's degree preferred, or equivalent combination of education and relevant experience.

· At least 2 years of executive, administrative, personal-assistant, project-coordination, or comparable experience preferred.

· Demonstrated ability to manage a complex calendar and multiple competing priorities.

· Excellent written and verbal communication skills.

· Strong organizational ability, attention to detail, and consistent follow-through.

· Sound judgment, discretion, integrity, and respect for confidentiality.

· Professional appearance, polished demeanor, and comfort in a public-facing role.

· Valid driver’s license, reliable transportation, and ability to complete occasional local errands.

· Flexibility to assist with occasional evening or weekend events when needed.
