Medical Front Desk Receptionist - Cosmetic Surgery PracticeJob Summary
We are seeking a professional, polished, organized, and dependable Medical Front Desk Receptionist to join our cosmetic surgery and aesthetic medical practice in Los Angeles.
This is a hands-on front office position that plays an integral role in the daily operations of the practice. The ideal candidate is personable, detail-oriented, proactive, and comfortable communicating with patients by phone, email, text, and in person while managing multiple responsibilities in a fast-paced medical environment.
Our practice includes cosmetic surgery, nonsurgical aesthetic treatments, wellness and weight-management services, and personal injury evaluations. Our front office team works closely with the physician and clinical staff across all areas of the practice.
Prior experience in cosmetic surgery, plastic surgery, dermatology, medical aesthetics, med spa, or a closely related medical/aesthetic practice is required.
This is primarily a front desk and medical office position rather than a traditional sales or patient coordinator role. However, because we are a boutique practice, the position requires flexibility and a willingness to assist with administrative, patient-facing, and basic clinical-support responsibilities as needed.
Responsibilities
- Greet patients and visitors warmly and professionally and provide an exceptional patient experience from arrival through departure.
- Answer incoming phone calls professionally, respond to inquiries, take accurate messages, and route calls appropriately.
- Respond to patient emails, text messages, and other office communications in a timely and professional manner.
- Schedule new patient consultations, follow-up visits, cosmetic treatments, wellness appointments, personal injury evaluations, and other office appointments.
- Confirm upcoming appointments and follow up with patients regarding scheduling, required forms, deposits, and appointment instructions.
- Check patients in and out of the office.
- Collect and accurately process patient payments, deposits, balances, and other charges.
- Provide receipts and maintain accurate payment documentation.
- Assist with insurance eligibility and benefit verification when applicable.
- Assist with insurance pre-authorizations and prior authorization requests, including gathering required information, submitting documentation, and following up on authorization status.
- Communicate with insurance carriers and patients regarding administrative requirements as directed.
- Maintain accurate patient demographic, insurance, and contact information within the practice management and EMR systems.
- Assist with new patient intake and ensure required consent forms and documentation are completed.
- Maintain patient confidentiality and comply with HIPAA and office privacy policies.
- Assist with cosmetic surgery, aesthetic, wellness, weight-management, and personal injury patient workflows.
- Help prepare examination and procedure rooms before patient appointments.
- Set up supplies and equipment needed for office procedures as directed by the physician or clinical team.
- Assist with room turnover between patients, including cleaning, disinfecting, restocking, and preparing rooms for subsequent appointments.
- Monitor medical, aesthetic, injectable, wellness, office, and general supply inventory.
- Assist with receiving, organizing, stocking, and tracking inventory and notify management when supplies need to be reordered.
- Maintain cleanliness and organization of the reception area, patient areas, examination rooms, procedure rooms, and shared office spaces.
- Scan, upload, organize, and appropriately route patient documents, photographs, records, and correspondence.
- Assist with medical record requests and other administrative documentation.
- Support the personal injury division of the practice with scheduling, patient intake, documentation, attorney-office communications, records, and administrative coordination as directed.
- Support the wellness and weight-management division with scheduling, patient communications, inventory, documentation, and general administrative responsibilities.
- Support the cosmetic and aesthetic division with scheduling, pre- and post-treatment communications, procedure preparation, and general administrative support.
- Assist with insurance-related administrative tasks, including verification of benefits, authorization requirements, and follow-up when applicable.
- Maintain awareness of the daily schedule and communicate delays, cancellations, scheduling changes, or patient concerns to appropriate team members.
- Help ensure rooms, supplies, paperwork, charts, photographs, and patient information are prepared for the day's appointments.
- Assist with recording photographs and short-form video content for the practice's social media platforms as needed, including helping capture office, educational, procedural, behind-the-scenes, and promotional content at the direction of the physician or team.
- Be comfortable appearing behind the camera and assisting with basic content capture using a smartphone or office equipment.
- Cross-cover other team members as needed and assist with front office, administrative, and appropriate clinical-support responsibilities within the scope of the position.
- Assist with miscellaneous office projects and operational tasks as needed.
- Perform other duties reasonably assigned to support the efficient operation and growth of the practice.
Required Qualifications
- Prior experience in cosmetic surgery, plastic surgery, dermatology, medical aesthetics, med spa, or a closely related healthcare/aesthetic environment is required.
- Prior medical front desk, receptionist, or medical administrative experience.
- Strong customer service and interpersonal skills.
- Professional, polished, and friendly demeanor.
- Excellent verbal and written communication skills.
- Strong phone etiquette and ability to communicate professionally with patients, attorneys, insurance representatives, vendors, and other medical offices.
- Excellent organizational skills and attention to detail.
- Ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment.
- Comfortable processing patient payments and maintaining accurate financial documentation.
- Experience using or ability to quickly learn EMR, practice management, scheduling, phone, email, and patient communication systems.
- Strong general computer skills.
- Familiarity with medical terminology and basic medical office workflows.
- Ability to maintain patient confidentiality and comply with HIPAA requirements.
- Reliable, punctual, dependable, and able to work effectively as part of a small team.
- Willingness to assist outside of strictly front desk responsibilities when needed.
- Comfortable working around cosmetic procedures, injectables, minor office procedures, medical equipment, and clinical supplies.
Language
Bilingual English/Spanish is strongly preferred.
The ability to comfortably communicate with Spanish-speaking patients by phone and in person is highly valued for this position.
