Full Job Description

Job Summary

A Key Account Coordinator at Vesta Foodservice is responsible for helping the sales team provide excellent customer service, communication, and an overall enhanced customer experience with the company. This role will report to the Manager, Key Accounts & Customer Operations and/or Key Account Supervisor and will support sales managers and key account managers with day-to-day interaction with existing group customers as assigned.

Essential Responsibilities

Account & Customer Support

Serve as point of contact for assigned customer groups via phone, email, and website inquiries.
Communicate orders accurately and efficiently in to Customer Service.
Communicate substitutions, shortages, pricing updates, and delivery issues clearly and professionally.
Coordinate with purchasing and operations to resolve product or service issues.
Escalate complex matters appropriately to Key Account Lead, Supervisor, or Manager.
Process new customer leads and track progress through sales funnel to conversion.
Assist with new customer setup and account maintenance.
Process New Item Requests (NIRs) as needed.
Maintain updated customer information in CRM and internal systems.
Work closely with Sales Reps and Key Account Managers to ensure alignment on customer expectations.
Communicate special requests to warehouse and transportation teams.
Support AR follow-up inquiries when necessary.
Assist with internal reporting, tracking, and documentation.
Support preparation for customer meetings, tours, or presentations when requested.
Maintain organized records and documentation for assigned accounts.
Support department projects that improve efficiency, customer service, and communication flow.

Qualifications

1–3 years of experience in customer service, sales support, foodservice distribution, or related field preferred
Strong written and verbal communication skills
Proficiency in Microsoft Office (Outlook, Excel, Word)
Ability to learn internal systems (Produce Pro, CRM, reporting tools)
Strong organizational and time management skills
Professional demeanor and ability to remain calm under pressure
Team-oriented mindset with willingness to assist beyond assigned tasks

Preferred Attributes

Experience in foodservice or produce distribution
Prior experience supporting corporate or multi-unit accounts
Demonstrated initiative and problem-solving ability
Interest in long-term growth within Sales or Account Management
