High School Diploma or GED
-
Minimum three years of administrative assistant, office administration, or office coordination experience

Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat

Excellent written and verbal communication skills

The Administrative Coordinator provides administrative and operational support to help ensure the efficient operation of TACI's office and construction teams.
The position supports multiple departments and responsibilities, including meeting coordination, project documentation, data entry, office organization, employee onboarding, recordkeeping, customer and vendor communication, reporting, purchasing, and general administrative support.
The successful candidate will be organized, dependable, resourceful, and comfortable working with office personnel, field employees, customers, vendors, project managers, and company leadership.

Provide daily administrative support to management, operations, and project teams

Answer incoming telephone calls and direct inquiries professionally

Welcome and assist visitors, customers, vendors, and employees

Schedule meetings, interviews, training sessions, and company events

Prepare correspondence, reports, presentations, spreadsheets, and project documents

File, scan, copy, organize, and maintain company records
-
Maintain office filing systems and document-control processes
-
Assist with calendars, meeting preparation, and follow-up activities

Respond to questions and information requests accurately and professionally

Perform additional administrative duties as assigned

Support Project Managers, Construction Managers, recruiting personnel, and operations leadership

Maintain project documents, employee records, and internal tracking systems

Assist with data entry, production reporting, spreadsheets, and project files

Collect and organize information from field and office teams

Help prepare customer reports, internal updates, and leadership presentations

Assist with work orders, project records, closeout documents, and related administrative tasks

Track outstanding documents, assignments, and required follow-up items

Help ensure project and operational records remain complete, current, and accessible
