This individual thrives in a fast-paced, highly dynamic environment where priorities can shift quickly and no two days look exactly the same. They are comfortable moving between tenant relations, maintenance, property repairs, financial details, vendors, and client communication—often managing several of these at once. They take initiative, solve problems independently, communicate proactively, and take ownership of issues from the moment they arise through final resolution.

Critical Responsibilities

The Property Manager is responsible for overseeing the critical operational touchpoints that impact the tenant experience, client relationship, property performance, and financial accuracy. The responsibilities below represent the key functions of the role and are not intended to be an exhaustive list of day-to-day duties.

New Units & Property Onboarding

Gain access to newly managed units and properties.
Complete 50-point property inspections.
Identify, document, and communicate property conditions requiring attention.

Tenant Billing & Financial Accuracy

Verify that all tenant-related billing is 100% accurate.
Determine the scope of work for tenant-related repairs and identify expenses that should be billed back to the tenant.
Communicate applicable paid expenses/bill-backs to tenants at cost.
Track tenant-related expenses through final billing and payment collection.
Review and finalize tenant/client invoices and collect outstanding payments.
Confirm all vendors have been paid before closing out applicable work orders.

Security Deposits & Tenant Close-Out

Complete security deposit reconciliation and return the security deposit with an itemized statement when applicable.
When necessary, complete the collections and/or small claims process.
Complete all required tenant close-out paperwork.
Collect forwarding addresses for tenants who will not be renewing.
Schedule and coordinate final inspections.

Delinquency, Notices & Evictions

Prepare and send required notices as applicable.
File evictions when necessary..
Attend court proceedings related to eviction matters.
Coordinate sheriff removal when required.

Leasing & Renewals

Conduct rental market analyses.
Prepare lease renewal offers based on market conditions and property/client objectives.
Coordinate the renewal or non-renewal process with tenants.
Obtain necessary owner/client approval for renewal terms and pricing.

Maintenance & Work Order Management

Clarify and prioritize incoming work orders.
Create and/or confirm the appropriate scope of work.
Negotiate and establish pricing with vendors when applicable.
Obtain owner/client approval when required.
Coordinate tenant logistics and access related to maintenance and repairs.
Track expenses associated with each work order.
Manage work orders through completion, final billing, payment collection, and close-out.
Confirm all associated vendors are paid before considering a work order fully closed.

Tenant Communication

Maintain proactive, professional, and timely communication with tenants throughout the management relationship, including communication regarding:

Work orders and repair status
Maintenance scheduling and access
Lease renewals and non-renewals
Tenant accommodations
Billing and tenant responsibilities
Inspections
Notices and other property-related matters

Tenant communication is a core responsibility of the Property Manager and should be maintained throughout each process rather than treated as a separate administrative task.

General Team & Administrative Responsibilities

In addition to the critical responsibilities above, the Property Manager is expected to consistently manage the normal day-to-day responsibilities associated with the position, including:

Staying current on email and responding in a timely manner.
Answering and returning phone calls.
Maintaining timely internal communication.
Keeping Slack and other company communication systems up to date.
Maintaining accurate records, notes, and documentation.
Following established company processes and procedures.
Communicating effectively with tenants, clients/owners, vendors, and fellow team members.
Supporting other reasonable operational needs of the property management team as they arise.

Preferred Experience

2+ years of Property Management experience
Real estate license (preferred but not required at hire)
Exceptional ability to build rapport quickly and cultivate long-term relationships
Comfortable navigating changing conditions and unexpected challenges

Position Requirements

Strong communication skills (in-person, phone, email, and text)
Ability to be direct while maintaining professionalism and warmth
Willingness to work evenings or weekends when required
Able to travel between Milwaukee and Madison
Must have computer with strong internet access

Pay: $50,000.00 - $60,000.00 per year
