Full Job Description

Company Overview

Plastic & Hand Surgical Associates is a highly regarded independent plastic surgery center dedicated to providing compassionate, expert care. Our team includes surgeons, physician assistants, occupational therapists, and other healthcare professionals committed to delivering outstanding results and personalized treatment to our patients.

Overview

We are seeking a detail-oriented and energetic Surgery Scheduling Specialist to join our team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a comprehensive understanding of surgical scheduling processes within a medical setting. This role involves coordinating and scheduling all outside cases for the Surgery Center at Plastic + Hand. Ensure accurate surgical bookings, verify required documentation and authorizations, coordinate pre- and post-operative processes, maintain scheduling records, and serve as a liaison between surgeons, scheduling teams, clinical staff, and coding departments. The position also provides cross-coverage for other coordinators as needed to support continuity of patient care and clinic operations.

Duties

Coordinate and book all outside surgeon cases for the Surgery Center at Plastic + Hand (SCAPH)

Coordinate surgery dates and times with the external scheduling team, and book RN prep calls and patient teachings as needed.
Book surgical cases using the appropriate details from the OR booking sheet, including the full procedure name and details, CPT codes, TRIDENT imaging needs, Read vs. No Read notation, regional block information, and radiation oncology injection details.
Maintain effective and prompt communication with external scheduling team.
Communicate with surgeon practice coordinators, authorization staff, and clinical staff regarding scheduling issues.
Confirm pre-op and notes have been received for Prep call.
Follow up with outside surgeon staff members regarding authorizations as needed.
Create the outside surgery charge slip once surgery is complete, including diagnosis and CPT codes.
Obtain external surgeon op notes from EMR and send surgery charge slip to coding team.

Cross coverage for coordinators as needed

Cover in office clinics and calls as needed for practice coordinator time off.
Daily assignment of coordinator coverage tasks in conjunction with the Float Coordinator.
Float Coordinator duties include printing surgical packets, releasing outside surgery block time, and providing backup coverage for external breast reconstruction cases as needed.

Other administrative duties as assigned for the ASC and Coordinator team.

Education & Experience:

High school graduate
Prior experience in a medical office
Prior surgical scheduling experience preferred
Proficiency with Microsoft applications and internet-based programs.
Strong interpersonal skills with the ability to establish strong working relationships.
Excellent verbal and written communication skills are necessary to communicate with all levels of staff and a patient population composed of diverse cultures and age groups.
Maintain confidentiality of reports and patient information.
Strong time management skills to prioritize assignments and meet the designated deadline.
Ability to be self-motivating and flexible.
Ability to work under pressure and respond to change in a positive way.

Physical Requirements:

Ability to sit for extended periods while working at a computer and managing scheduling systems.
Frequent use of a computer, keyboard, mouse, and telephone for data entry and communication.
Ability to view and read computer screens, electronic medical records, and written documentation with or without reasonable accommodation.
Ability to communicate effectively in person, by telephone, and through electronic communication.
Occasional standing, walking, bending, reaching, and lifting of office supplies, and paperwork up to 10 pounds.
Ability to maintain concentration and accuracy while performing detailed, repetitive administrative tasks in a fast-paced environment.
Manual dexterity sufficient to operate standard office equipment, including computers, printers, copiers, and telephones.
