Full Job Description

POSITION SUMMARY:

Under the supervision of the IDD Office Manager, the IDD Operations Coordinator provides administrative, clerical, operational, human resources, records, onboarding, staffing, and front-office support for IDD Administration. The position supports accurate and timely processing of employee and program documentation, coordinates with Human Resources and program leadership, provides customer service to staff and the public, maintains records and compliance documentation, supports staffing and scheduling functions, and assists with special projects and other duties as assigned.

DUTIES AND RESPONSIBILITIES:

Provides administrative and clerical support to IDD leadership and administrative staff, including typing, word
processing, correspondence, filing, copying, recordkeeping, and general office support.
Provides support for staff recordkeeping, records compliance, employee status changes, human resourcesactions and related administrative processes.
Works closely with Human Resources, Payroll, Finance, and program management to ensure documentation is accurate, timely, and supports payroll, benefits, personnel records, program compliance, fiscal management, and legal requirements.
Responds to telephone, walk-in, and general inquiries from staff and the public; routes calls appropriately, takes messages, manages voicemail, provides agency forms, and provides quality customer service through resolution.
Receives, sorts, distributes, and prepares incoming and outgoing mail and related correspondence.
Maintains and organizes program and agency-related records and files, including confidential and sensitive information.
Assists the IDD Director with required reports, financial records, staffing reports, and other administrative documentation as directed.
Maintains confidentiality and safeguards confidential and sensitive information; complies with HIPAA requirements regarding Protected Health Information.
Assists with special projects and other administrative duties as assigned by the immediate supervisor.

NEW HIRE PROCESSING AND ONBOARDING:

Assists employment candidates through the application, hiring, and onboarding process.
Participates in pre-employment, recruiting, interviewing, and hiring activities as assigned.
Conducts three candidate reference checks and required background checks, including OIG, SAM, Central Registry, Fingerprint Card verification, and E-Verify.
Collects new hire paperwork, audits documents for accuracy and completeness, copies documents required for IDD compliance files, and prepares documents.
Uses ON-Point to receive new hire and employee status-change documentation from IDD field management; ensures required approvals and signatures are obtained and that the central IDD file is established.
Reviews Employee Action Notices (EANs) for required approvals and processes them for submission to Human Resource within established timelines, while understanding payroll data-entry requirements and payroll schedules.

MINIMUM QUALIFICATIONS:

High School diploma or GED.
Two (2) years of experience in IDD operations administration or administrative support.
Strong data-entry skills and attention to detail.
Valid Arizona driver's license and clearance/approval by the corporate auto insurer.
Average proficiency with Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and database management systems.
Must obtain and maintain a Level I Fingerprint Clearance Card and be able to pass OIG clearance.

Any combination of academic education, professional training, or work experience that demonstrates the ability to perform the duties of the position.

PREFERRED QUALIFICATIONS:

Three (3) years of prior work experience in IDD operations administration.
Two (2) years of prior work experience in a non-profit agency or volunteer social work.
Related college coursework in office administration or an administrative certificate.
Intermediate proficiency with Microsoft Office software.
Bilingual (English/Spanish).

PHYSICAL REQUIREMENTS:

Must be able to see a computer monitor.
Must be able to lift fifteen (15) pounds.
