POSITION SUMMARY:

The Board Administrative Secretary III performs complex secretarial and administrative work in support of the functions of the Board of Education Office.This is important secretarial and administrative work requiring broad knowledge of the operations of Prince Georges County Public Schools (PGCPS) and the Board of Education. The incumbent of this position will encounter frequent contact with top-level officials and the handling of a great variety of matters. The position requires the exercise of considerable judgment, discretion, and tact in addressing a wide range of complex and sensitive matters. Work is performed with a significant degree of independence and is reviewed periodically for overall effectiveness and accuracy. Supervision may be exercised over administrative secretaries and clerical personnel.

Detailed Description

DUTIES & RESPONSIBILITIES:

To be successful in this position, an individual must be able to carry out each essential duty satisfactorily.

Serves as the lead administrative support professional for the Board of Education Office and coordinates the workflow and assignments of administrative secretaries and clerical personnel;
Supports the planning, preparation, and coordination of Board meetings, work sessions, hearings, committee meetings, and special Board events;
Facilitates and manages administrative functions associated with the Board meeting management platform, including agenda preparation, document uploads, meeting updates, and distribution of Board materials;
Determines how to prioritize and triage incoming Board appeals emails, inquiries, and urgent Board-related matters, including deciding what requires immediate escalation to the Director versus what can be addressed directly or routed to appropriate personnel;
Provides administrative and logistical support to the Policy and Governance Committee and other Board committees or focus work groups as assigned;
Monitors and manages the Boards appeal email account and assists with the intake, organization, tracking, and processing of appeals and related correspondence;
Recommends improvements to office workflows, tracking systems, and administrative procedures to increase efficiency, accuracy, and compliance within the Board Office operations;
Provides support during Board meetings and hearings, including attendance management, documentation coordination, and operational assistance;
Tracks assignments, action items, and follow-up requests to ensure timely completion and response;
Prepares correspondence, memoranda, reports, agendas, minutes, presentations, and other Board-related documents for review and signature; and
Performs all other duties as assigned.

Job Requirements

QUALIFICATIONS:

The requirements listed below are representative of the knowledge, skill, and/or ability required.

Thorough knowledge of advanced secretarial and office management practices and procedures;
Thorough knowledge of Board of Education operations, administrative procedures, and organizational practices within PGCPS;
Working knowledge of Board policies, quasi-judicial procedures, and the Maryland Open Meetings Act;
Strong organizational, communication, and interpersonal skills;
Proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint), Google applications, and Board meeting management systems (i.e., Diligent);
Ability to coordinate multiple assignments and prioritize work in a fast-paced environment with frequent interruptions and strict deadlines;
Ability to exercise sound judgment, discretion, tact, and diplomacy when interacting with Board members, staff, attorneys, stakeholders, and the public;
Ability to maintain confidentiality and handle sensitive matters appropriately;
Ability to oversee, coordinate, and provide guidance to clerical and administrative support staff;
Ability to follow complex oral and written instructions and work independently with limited supervision;
Ability to establish and maintain effective working relationships with Board members, staff, and external stakeholders; and
Demonstrated ability to prepare professional correspondence, reports, and meeting materials with a high degree of accuracy.

EDUCATION AND/OR EXPERIENCE REQUIREMENTS:

Completion of a standard high school diploma or GED required; Associates degree or higher preferred.? A minimum of six (6) years of experience providing administrative support required; experience in a public sector or school system environment preferred.

May provide guidance and oversight to personnel.
