Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines financial management with administrative support, ensuring smooth daily operations and accurate bookkeeping. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will handle a variety of clerical tasks, and maintain precise financial records to support our business growth. This paid position offers an exciting opportunity to develop your administrative and bookkeeping expertise in a collaborative environment.

Responsibilities

Manage accounts payable using QuickBooks or similar accounting software, ensuring timely processing of invoices, payments, and expense tracking
Maintain organized filing systems for financial documents, contracts, and correspondence
Assist with calendar management, scheduling appointments, meetings, and reminders for staff and clients
Perform data entry tasks accurately into spreadsheets and productivity software to support reporting and recordkeeping
Support office and operations management duties such as ordering supplies, maintaining office equipment, and overseeing front desk operations
Proofread documents, emails, and reports for clarity, accuracy, and professionalism

Skills

Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Excellent phone etiquette with experience managing multi-line phone systems and client interactions
Bilingual abilities are a plus to enhance communication with diverse clients and team members
Demonstrated office management experience including filing, calendar management, and clerical support
High level of computer literacy with technical proficiency in data entry, proofreading, and document formatting
Exceptional time management skills to prioritize tasks efficiently while maintaining attention to detail
Previous experience as a personal assistant or administrative support role is advantageous
