Job Overview
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This vital role involves overseeing daily administrative tasks, managing office systems, supporting staff, and providing exceptional patient care. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to foster an efficient and welcoming workplace. This paid position offers an exciting opportunity to contribute to a thriving organization while honing your office management expertise.

Duties

Manage front desk operations, including review provider schedules to ensure an efficient flow, scheduling appointment, answering multi-line phone systems, and responding to calls with professional phone etiquette
Oversee calendar management and scheduling for providers and team members, ensuring timely appointments
Maintain accurate records through data entry, ensuring balance sheets, and document management using Microsoft Office
Provide excellent clinic support by addressing potent issues promptly and professionally via phone or email
Assist with bookkeeping activities using QuickBooks to track expenses and manage invoices
Support office management functions including organizing events, managing office policies, and coordinating with the hospital schedule

Experience

Proven experience in office management or administrative roles with a strong background in organization and team
Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, data entry, and general computer literacy
Prior experience working in a medical/dental office environment with various EMRs ( namely ECW and Epic) is highly desirable
Bilingual abilities are a plus to effectively communicate with diverse patients
Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail
Ob/Gyn experience is beneficial for understanding scheduling complexities and confidentiality requirements
