About The Haase House

The Haase House is a small, mission-driven nonprofit serving young adults with intellectual and developmental disabilities and autism. We provide individualized programming focused on building independence, employment skills, meaningful community participation, and everyday life skills. As a small organization, every position makes a meaningful difference. We are looking for an experienced financial and administrative professional who can bring knowledge, organization, sound judgment, and initiative to the day-to-day financial operations of our organization.

About the Position

The Finance & Administration Manager is responsible for the day-to-day financial and administrative systems of The Haase House.

This is a hands-on position for someone who is comfortable taking ownership of financial processes, working independently, identifying issues, improving systems, and communicating recommendations to organizational leadership.

The Finance & Administration Manager works closely with the Executive Director, accountant, staff, fiscal agents, and service providers to ensure that financial information is accurate, timely, organized, and supports the organization's ongoing operations and growth.

This position may be particularly well suited to an experienced accounting, bookkeeping, business, or nonprofit professional who is looking for meaningful part-time work, including an experienced or semi-retired professional who would enjoy using their expertise to support a local nonprofit.

Key Responsibilities:

Financial Management & Accounting

Manage day-to-day accounts payable and organizational payments.
Manage accounts receivable and client service billing, including claim follow-up.
Maintain accurate QuickBooks records, reconciliations, and financial reports.
Reconcile bank and credit card activity and maintain supporting documentation.
Monitor organizational accounts, expenses, and cash flow.
Coordinate with the organization's accountant and assist with annual tax and financial reporting.

Budgeting & Financial Planning

Work with the Executive Director to develop the annual organizational budget.
Provide financial information, projections, and analysis to support decision-making.
Monitor budget-to-actual activity and identify significant variances or concerns.
Provide financial information needed for planning, reporting, and Board oversight.

Payroll & Administrative Finance

Process bi-weekly payroll accurately and on schedule.
Maintain employee timekeeping systems.
Prepare annual W-2s and 1099s.
Maintain organized financial and administrative records.
Track important financial, tax, insurance, and compliance deadlines.
Maintain confidentiality of financial, employee, client, and organizational information.

Billing & Human Services Coordination

Manage client service billing and claims.
Communicate with fiscal agents and other appropriate parties regarding authorizations, billing, and payments.
Monitor outstanding claims and payments.
Help ensure service revenue is accurately recorded and reconciled.

Grants, Donors & Revenue

Prepare financial information needed for grant applications and reporting.
Track and allocate expenses for grants and programs.
Track revenue from fundraising events and other organizational activities.
Maintain donor financial records and acknowledgment/receipt processes.
Maintain nonprofit and donor-related financial systems.

Systems, Compliance & Organizational Support

Coordinate organizational insurance renewals and related financial requirements.
Assist with Workers' Compensation audits and other required financial filings.
Maintain required nonprofit registrations and compliance records.
Identify opportunities to improve financial and administrative systems.
Work with leadership to implement effective procedures, systems, and software as organizational needs change.

What We're Looking ForRequired

Experience in accounting, bookkeeping, finance, business administration, nonprofit administration, or a related field.
Strong working knowledge of QuickBooks and general accounting practices.
Experience with accounts payable/receivable, payroll, reconciliations, and financial reporting.
Strong organizational and attention-to-detail skills.
Ability to independently manage deadlines and recurring financial responsibilities.
Good judgment and the ability to recognize concerns and communicate them appropriately.
Ability to maintain confidentiality and handle sensitive information.
Comfortable working independently in a small-organization environment.

Preferred

Nonprofit accounting or administrative experience.
Experience with Medicaid or human services billing.
Experience with grant financial reporting.
Familiarity with nonprofit compliance, donor systems, fiscal agents, or similar organizations.
Experience improving or developing financial and administrative systems.

A CPA or accounting/business degree is valued but not required. We are most interested in finding someone with the experience, judgment, reliability, and initiative to successfully own this area of our organization.
