About Us

Nena Wellness & Recovery is a luxury mobile wellness company serving Scottsdale, Phoenix, and the surrounding Valley. We specialize in in-home massage therapy, assisted stretching, recovery services, corporate wellness programs, conferences, sporting events, and private wellness experiences.

As our company continues to grow, we’re looking for an organized, proactive, and personable Office Manager to help oversee our daily operations and provide exceptional service to our clients.

Position Summary

The Office Manager plays a key role in ensuring the business operates efficiently behind the scenes. This individual will manage scheduling, client communication, event coordination, administrative tasks, and support business growth while maintaining the high standard of service our clients expect.

Responsibilities

Answer phone calls, emails, and website inquiries
Schedule appointments and manage therapist calendars
Coordinate corporate wellness events and private bookings
Prepare invoices, contracts, and client proposals
Process payments and deposits
Maintain client records and appointment notes
Assist with therapist scheduling and onboarding
Order office and wellness supplies
Coordinate event logistics and setup as needed
Follow up with clients after appointments and request reviews
Assist with marketing initiatives and social media coordination
Track business expenses and maintain organized records
Support the owner with day-to-day administrative tasks
Help improve systems and workflows as the business grows

Qualifications

Minimum of 2 years of office management, administrative, executive assistant, or customer service experience
Excellent organizational and time-management skills
Strong written and verbal communication skills
Friendly, professional, and client-focused
Detail-oriented with the ability to multitask
Comfortable working independently in a fast-paced environment
Proficient with Microsoft Office and Google Workspace
Experience with scheduling software, QuickBooks, or CRM systems is a plus
Valid driver’s license and reliable transportation

Preferred Qualifications

Experience in healthcare, wellness, medical, spa, fitness, or hospitality
Event coordination experience
Social media and marketing experience
Bookkeeping experience

Compensation & Benefits

$24.00–$28.00 per hour, based on experience
20–30 hours per week to start, with the opportunity to transition into a full-time role as the company grows
