Full Job Description

This is a hybrid role (4 days onsite/1 day remote)

The Executive Assistant will play a critical role in enabling a C-suite leader to effectively oversee and guide the organization’s global operations. Success in this role requires a proactive mindset, exceptional organizational skills, and the ability to anticipate needs before they arise. This position will manage complex calendars across time zones, coordinate logistics, and ensure the executive is fully prepared for every meeting and engagement.

The ideal candidate is a strong communicator—both written and verbal—with keen attention to detail and the ability to stay several steps ahead. This position must be a discreet, resourceful problem solver, comfortable navigating high-level responsibilities with poise and precision. The Executive Assistant will be part of a dynamic organization focused on growth, well-being, and making a global impact. This is a standout opportunity for a seasoned Executive Assistant who thrives in a fast-paced environment and takes pride in keeping operations running seamlessly behind the scenes.

Main Responsibilities

Monitor inbox, draft/proof emails and presentations, and manage WhatsApp messages and team communications.
Prepare clear, professional messages and agendas; manage video and information requests.
Manage complex calendar, schedule meetings, maintain contacts, and prep materials.
Act as liaison across departments and external partners to ensure seamless communication.
Coordinate all travel (domestic/international), ensuring preferences, documents, and itineraries are in order.
Plan offsites/events; provide onsite support for key events and international trips (2–4 annually).
Design presentation materials, coordinate IT and shipping needs, manage expenses and invoices.
Communicate with international teams and document key calls.
Anticipate needs, solve problems, and continuously improve workflows.
Handle issues independently to allow the leader to focus on high-level priorities
Occasionally provide personal support (e.g., travel logistics, appointments, errands)

Qualifications

Seven (7)+ years of senior executive administrative experience, ideally in a global organization with proven experience supporting C-suite executives, with 24/7 availability when needed, especially during international travel.
Global experience supporting executives.
Self-motivated with strong initiative and ability to work independently
Excellent organizational and time management skills; able to prioritize and meet deadlines
Exceptional written and verbal communication skills, with strong grammar and proofreading abilities
Discreet and professional in handling sensitive and confidential information
Strong decision-making and problem-solving skills
High proficiency in Microsoft Office (especially PowerPoint), calendaring, scheduling, and document management
Experience with tools such as WhatsApp, social media, Monday.com, Zoom, and Microsoft Teams
Adaptable and calm under pressure; comfortable in a fast-paced, dynamic environment
Detail-oriented and versatile; able to manage multiple tasks and shifting priorities.
Must have passport and ability to travel when needed.
