Job Type: Part time

Work Schedule: Rotates each weekly but is based on a part time schedule with 5 hour shifts per day (Monday to Friday) 25 hours per week. 50 hours biweekly

Shift 1: 9am-2pm

Shift 2: 2pm-7pm

Job Overview:
We are currently seeking a reliable and efficient Administrative Assistant to handle various administrative, clerical, scheduling, and billing tasks within our mental health counseling center. The chosen candidate will play a crucial role in supporting supervisors and clinicians, managing daily office operations, and overseeing general administrative activities.

Responsibilities:
- Manage incoming calls and direct inquiries appropriately
- Coordinate and schedule appointments
- Facilitate intake processes
- Draft and distribute emails, correspondence, memos, letters, faxes, and forms
- Assist in the preparation of routine reports
- Establish and maintain an organized filing system
- Update and uphold office policies
- Manage the office supply inventory
- Maintain contact lists and contribute to the monthly newsletter
- Serve as the primary point of contact for clients

Qualifications:
- Candidate must be bilingual in English and Spanish

- Proven experience in administrative or office support roles
- Familiarity with office management systems and procedures
- Proficiency in operating office equipment, including printers and fax machines
- Advanced skills in MS Office, with a focus on Excel and PowerPoint
- Strong time management abilities and effective prioritization skills
- Keen attention to detail and adept problem-solving skills
- Outstanding written and verbal communication skills
- Exceptional organizational skills with the ability to handle multiple tasks simultaneously
