We are seeking a warm, professional, and highly organized Medical Receptionist who has insuracne expericne ,thrives in a patient-centered, mental health-focused setting and can serve as the welcoming face and steady presence of our clinic.

Role Overview

The Medical Receptionist plays a vital role in supporting both the patient experience and the daily operations of our clinic. We are seeking a compassionate, highly organized professional with strong medical insurance experience who is passionate about delivering exceptional service in a mental health-focused environment.

As the first point of contact, you will create a warm, welcoming, and supportive experience for every patient while efficiently managing front office operations. This role requires exceptional multitasking abilities, emotional intelligence, professionalism, and meticulous attention to detail. The ideal candidate is confident navigating insurance verification, eligibility, benefits, prior authorizations, and patient inquiries while maintaining a calm, discreet, and hospitality-driven atmosphere.

This position combines medical reception, insurance coordination, patient scheduling, front office administration, and patient communication, making it ideal for someone who thrives in healthcare administration and genuinely cares about helping patients feel supported throughout their treatment journey. Experience with behavioral health, mental health, or specialty medical practices is highly preferred.

Bilingual (Spanish/English) Required:

Spanish-English bilingual is required.
Ability to communicate professionally and compassionately with patients in both languages.

Schedule

Required Availability: Mondays, Tuesdays, Thursdays, and some Fridays.
Schedule: Shifts may vary between 9:00 AM – 5:00 PM, 11:00 AM – 7:00 PM, or 12:00 PM – 8:00 PM, based on clinic needs.
Position Type: Part-time, with the opportunity to transition into a full-time position

Key Responsibilities

Welcome patients with warmth, professionalism, and discretion.
Foster a calm, supportive, and patient-centered environment.
Provide light hospitality support and maintain patient confidentiality in accordance with HIPAA.

Front Desk & Administrative Support

Answer phones, respond to patient inquiries, and schedule appointments.
Manage patient check-in/check-out, intake forms, and electronic health records (EHR).
Collect payments, verify demographic information, and perform general administrative tasks.

Insurance & Financial Coordination

Verify insurance eligibility, benefits, and prior authorizations.
Explain insurance coverage and patient financial responsibilities.
Collaborate with the billing and clinical teams to resolve insurance-related questions.

Clinic Operations

Support providers and staff to ensure efficient daily operations.
Maintain clinic flow while balancing multiple priorities in a fast-paced environment.
Assist with administrative projects and occasional marketing or social media initiatives as needed.

Qualifications

2+ years of experience as a medical receptionist or healthcare front desk professional.
Strong knowledge of insurance verification, eligibility, benefits, prior authorizations, and medical billing.
Excellent communication, organization, and multitasking skills.
Compassionate, professional, and patient-focused with exceptional customer service.
Proficient with EHR systems, scheduling software, and Microsoft Office.
Experience in behavioral health, mental health, Spravato, ketamine therapy, or specialty medical practices is preferred.
Working knowledge of HIPAA and commitment to maintaining patient confidentiality.
