Administrative Assistant / Bookkeeper

We are currently looking for an organized, energetic, and detail-oriented administrative assistant / bookkeeper to join our growing team. If you enjoy working with people, staying organized, solving problems, and being an essential part of a company's success, we'd love to hear from you.

What You'll Do

As a key member of our team, you'll help keep our office running smoothly while supporting both our customers and internal staff.

Your responsibilities will include:

Welcoming visitors, customers, and vendors with professionalism and a positive attitude.
Managing incoming phone calls and directing inquiries efficiently.
Scheduling appointments, meetings, and maintaining calendars.
Organizing and maintaining office records, files, and documentation.
Assisting with bookkeeping functions using QuickBooks, including invoicing, expense tracking, and record management.
Preparing reports, correspondence, and administrative documents.
Supporting office operations and coordinating daily administrative activities.
Ordering office supplies and assisting with general office management.
Providing outstanding customer service and helping resolve inquiries promptly.
Assisting management with special projects and administrative support as needed.

What We're Looking For

Previous experience in an administrative, office, bookkeeping, or clerical role.
Strong organizational skills and attention to detail.
Proficiency with Microsoft Office (Word, Excel, Outlook).
QuickBooks experience is highly preferred.
Excellent communication and customer service skills.
Ability to multitask and work effectively in a fast-paced environment.
Positive attitude, reliability, and a strong work ethic.
Bilingual (English/Spanish) is a plus.
