Overview
Join our dynamic team as an Assistant Office Manager and become a vital force behind the smooth operation of our office environment! This energetic role offers the opportunity to lead administrative functions, coordinate events, supervise staff, and ensure efficient office management. You will play a key role in supporting daily operations while contributing to a positive and organized office culture.

Duties

Oversee daily office activities, ensuring seamless administrative operations and effective communication across teams
Assist in managing schedules, appointments, and calendar coordination for leadership and staff
Coordinate and plan company events, meetings, and training sessions to promote team engagement and development
Supervise administrative staff, providing guidance on clerical tasks, filing systems, and front desk responsibilities
Manage vendor relationships, including negotiating contracts and ensuring timely delivery of supplies and services
Handle bookkeeping tasks using QuickBooks or similar accounting software to maintain accurate financial records
Support human resources functions such as onboarding new employees, processing payroll, and maintaining personnel files

Requirements

Proven experience in office management or administrative roles with supervisory responsibilities
Strong organizational skills with the ability to prioritize tasks efficiently
Excellent communication skills—both verbal and written—with professional phone etiquette
Proficiency in QuickBooks, calendar management software, multi-line phone systems, and basic bookkeeping tools
Experience in event planning, vendor management, and human resources processes including payroll and training development
Knowledge of medical office management or healthcare-related administrative procedures is a plus
Demonstrated ability to supervise teams effectively while maintaining a positive work environment
Detail-oriented with strong filing skills and familiarity with clerical procedures in an office setting
