Full Job Description

We are seeking a highly organized, proactive, and service-oriented Purchasing & Owner/Guest Relations Coordinator to support the operations of a luxury branded residences property in Brickell, Miami.

This role will be responsible for coordinating purchasing and vendor relationships while serving as a key liaison between residence owners, hotel guests, the management company, vendors, and the property’s operational team.

The ideal candidate will have a strong hospitality mindset, excellent organizational skills, and the ability to manage purchasing processes while maintaining a high standard of communication and service.

Key ResponsibilitiesPurchasing & Vendor Management

Organize, manage, and maintain strong relationships with vendors and suppliers.
Coordinate purchasing requirements for the day-to-day operation of the branded residences.
Request, review, and compare vendor proposals, pricing, and terms.
Ensure purchases are made according to approved operational budgets.
Maintain accurate records of purchase orders, invoices, vendor information, deliveries, and expenses.
Monitor operational spending and assist management in maintaining proper purchasing controls.
Track orders and deliveries to ensure products and services are received on time and according to specifications.
Identify and develop relationships with reliable suppliers to support the property's operational needs.
Coordinate with management to anticipate purchasing requirements and maintain adequate inventory levels.
Assist with cost-control initiatives while maintaining the quality standards expected of a luxury hospitality property.

Owner & Guest Relations

Serve as a primary liaison between residence owners, guests, the hotel management company, and the property's operational team.
Maintain professional, responsive, and personalized communication with residence owners.
Assist owners with operational questions, requests, maintenance coordination, purchasing needs, and matters related to their residences.
Support hotel guests and residence guests with requests, concerns, and special requirements.
Coordinate with housekeeping, maintenance, management, front desk, and other departments to ensure requests are handled efficiently.
Follow up on owner and guest requests to ensure timely resolution and satisfaction.
Maintain organized records of owner requests, communications, and follow-ups.
Help ensure that the overall owner and guest experience reflects the service standards of a luxury branded residence.

Qualifications

Previous experience in hospitality, hotel operations, branded residences, property management, purchasing, procurement, guest relations, or owner relations preferred.
Strong organizational and administrative skills.
Excellent communication and interpersonal skills.
Ability to manage multiple priorities and follow up consistently.
Strong attention to detail and cost awareness.
Experience working with vendors, purchase orders, invoices, and operational budgets is preferred.
Professional and service-oriented demeanor.
Ability to resolve issues efficiently and maintain positive relationships with owners, guests, vendors, and management.
Proficiency in Microsoft Office and/or Google Workspace.
Fluent English required; Spanish is strongly preferred.

Ideal Candidate

The ideal candidate is proactive, detail-oriented, and highly organized, with a strong understanding of hospitality and customer service. This individual should be comfortable managing both the operational purchasing needs of the property and the relationship between owners, guests, vendors, and the management company.

The role requires someone who can maintain excellent service standards while ensuring that purchasing and operational expenses remain organized, efficient, and aligned with the approved budget.
