Full Job Description

We are seeking an experienced, highly organized Bookkeeper to manage the day-to-day financial operations of a busy, high-end residential interior design firm. The ideal candidate has strong bookkeeping and accounting skills and, preferably, experience within an interior design, architecture, construction, or other project-based business.

This role works closely with the firm's principals, project managers, purchasing/procurement team, and outside CPA to ensure accurate financial reporting, timely client billing, vendor payments, and project-level financial tracking.

Key Responsibilities

Manage day-to-day bookkeeping and maintain accurate financial records in QuickBooks
Manage accounts payable and accounts receivable
Process vendor invoices and ensure timely payments
Prepare and issue client invoices, retainers, deposits, and reimbursements
Track client funds and project-related expenses
Reconcile bank accounts and credit cards monthly
Maintain accurate records of purchases, vendor deposits, freight, receiving, delivery, and other project costs
Track project budgets, expenses, markups, and profitability
Reconcile purchasing and procurement transactions against individual projects
Monitor outstanding client balances and follow up on receivables
Maintain vendor records, W-9s, and assist with preparation of 1099s
Manage and file applicable Florida sales tax documentation and payments
Assist with payroll and employee expense reimbursements
Prepare monthly financial reports, including P&L, balance sheet, cash flow, accounts receivable, and accounts payable
Provide principals with clear reporting on project profitability and cash flow
Coordinate with the firm's CPA for tax preparation, year-end close, and other accounting requirements
Maintain organized digital financial records and supporting documentation
Identify discrepancies and resolve accounting issues promptly

Qualifications

Minimum 3–5 years of bookkeeping/accounting experience
Experience with an interior design, architecture, construction, or project-based firm strongly preferred
Advanced proficiency in QuickBooks Online
Strong knowledge of accounts payable, accounts receivable, reconciliations, and general ledger accounting
Experience with project/job costing and client billing
Familiarity with interior design purchasing and procurement processes is highly desirable
Experience with design-industry software such as Studio Designer, Design Manager, or similar platforms is a plus
Strong Excel/Google Sheets skills
Excellent attention to detail and organizational skills
Ability to manage confidential financial information with discretion
Strong communication skills and ability to work collaboratively with designers, project managers, vendors, clients, and outside accountants

The ideal candidate understands that accounting within an interior design firm goes beyond traditional bookkeeping. They are comfortable tracking multiple projects simultaneously, reconciling complex purchasing activity, managing client deposits and vendor payments, and providing management with a clear understanding of the financial performance of each project.

They are meticulous, proactive, trustworthy, and highly organized, with the ability to identify discrepancies before they become problems.

Pay: $50,000.00 - $60,000.00 per year
