Sales Coordinator

Position Overview

Arrow Park is an award winning Wedding and Event space with overnight accommodation on 70 acres in Monroe, NY.

We are seeking a driven, organized, and customer-focused Sales Coordinator to support our sales manager.

You will be responsible administrative assistance, sales support and client management . The successful candidate will work closely with the sales manager and the general manager to develop the skills necessary to advance into a full-time Sales associate.

This is an assistant position with room for growth for the right person so in addition to administrative tasks you will be learning.

Key Responsibilities
Sales & Business Development

Screen and qualify incoming leads.
Respond to inquiries via phone, email, and social media.
Answer incoming calls, make outbound sales calls, and take detailed messages.
Conduct client follow-up to increase conversions and maintain relationships.
Develop and nurture relationships with prospective and existing clients.
Track sales activity, leads, referrals, and bookings.

Client & Tour Coordination

Manage sales calendars and appointment schedules.
Coordinate site visits, phone calls, meetings, and client consultations.
Prepare, stage, and conduct property tours.
Print and organize tour packets and presentation materials.
Ensure a seamless client experience from initial inquiry through booking.

Booking & Contract Management

Track bookings and event activity.
Prepare, send, and manage contracts and proposals.
Maintain accurate client records and sales documentation.
Update pricing sheets, packages, and important sales materials.
Monitor contract deadlines and booking status.

Financial Administration

Assist with cash flow management and revenue tracking.
Send payment reminders and collect outstanding balances.
Manage collections and payment follow-up communications.
Track deposits and payment schedules.
Process backup payment methods and maintain payment records.

Marketing & Social Media

Develop and schedule social media content.
Support marketing campaigns and promotions.
Showcase events, venue features, and client success stories through social media channels.
Assist with maintaining a strong and consistent Arrow Park brand presence.

Shareholder & Stakeholder Support

Assist with shareholder communications and management activities.
Maintain organized records and reporting.
Support management with administrative and operational initiatives.

Qualifications

Strong communication and interpersonal skills.
Highly organized with excellent attention to detail.
Professional phone etiquette and customer service skills.
Ability to manage multiple projects simultaneously.
Self-motivated, proactive, and results oriented.
Proficiency in Microsoft Office (Outlook, Excel, Word).
Experience in hospitality, events, sales, customer service, or administrative support is required.
Experience with CRM, booking, or event management software is a plus.
Bachelor’s degree in business, or communication is highly desirable.

Job Requirements

Arrow Park is located on 70 acres. It is an active position and requires you to be able to sit for long periods of time, type proficiently, walk on uneven terrain at times, bend, lift 20 lbs and walk 3 flights of stairs.

Drive 6 passenger golf cart.

Minimum of 40 hours a week; may be more in season.
Weekend work is required.
Vacation and days off need to be flexible and agreed upon.

Pay: $25.00 - $30.00 per hour
