Part-Time HR Administrative Assistant

Schedule: Part-Time | 24 Hours per Week | Three 8-Hour Days

Department: Human Resources

Position Overview

We are seeking an organized, dependable, and detail-oriented Part-Time HR Administrative Assistant to provide administrative support to our Human Resources department. This position is ideal for someone who enjoys staying organized, coordinating employee activities, working with employee information, and helping keep a busy HR department running smoothly.

This is primarily an administrative support role with responsibilities spanning document management, employee file maintenance, reporting, employee recognition, onboarding coordination, company events, and day-to-day HR support.

Key Responsibilities

Print, scan, copy, organize, and distribute HR documents and employee paperwork
Prepare and coordinate outgoing mail, packages, and shipments
Upload and maintain employee documents and electronic personnel files within Paylocity/HRIS
Assist with Paylocity administrative tasks and employee record maintenance
Organize and maintain confidential employee files and HR documentation
Coordinate the Employee of the Month program, including certificates, recognition materials, and distribution
Track employee birthdays, work anniversaries, and other recognition milestones
Prepare and distribute birthday, anniversary, and recognition certificates
Order new hire clothing, uniforms, and onboarding materials as needed
Assist with new hire onboarding preparation and administrative coordination
Schedule Outlook calendar invitations for new hire orientations, meet-and-greets, onboarding meetings, and other HR-related events
Prepare weekly and monthly HR reports, including employee headcount, new hires, terminations, birthdays, anniversaries, and other recurring workforce information
Assist with organizing and maintaining annual employee performance review documentation
Track annual review schedules, completed documentation, and outstanding items
Assist with planning and coordinating company parties, employee appreciation events, holiday celebrations, meetings, lunches, and other company events
Coordinate event details including invitations, RSVPs, food and catering, decorations, supplies, employee communications, and event setup
Assist with ordering employee gifts, awards, recognition items, and event materials
Prepare, organize, and distribute HR forms, packets, and employee communications
Assist with spreadsheets, reports, data entry, and general recordkeeping
Maintain organized electronic and physical HR files
Provide additional administrative support to the HR department as needed

Qualifications

Strong organizational skills and exceptional attention to detail
Dependable and able to work independently with minimal supervision
Ability to handle confidential employee information with discretion
Proficient with Microsoft Outlook, Excel, Word, and general computer systems
Comfortable learning and working within HRIS and payroll systems; Paylocity experience is a plus
Strong written and verbal communication skills
Creative and willing to assist with employee events, celebrations, and recognition activities
Ability to manage multiple recurring responsibilities and deadlines
Previous administrative, office, or HR support experience preferred

Schedule

This is a part-time, 24-hour-per-week position consisting of three 8-hour workdays each week.

The position requires reliable attendance and consistent availability on the established workdays. This role is designed to provide dedicated administrative support to the Human Resources department while offering a predictable part-time schedule.
