Full Job Description

Garda is seeking an Office Manager who has excellent organizational skills for our Wayzata office. The ideal candidate will ensure efficient operation of office duties and play an important role contributing to the success of both the team and our valued clients.

Responsibilities:

Essential functions will include but not be limited to the following:

Excellent verbal and written communication skills.
Ensure clients and other visitors experience a professional, welcoming, and friendly reception, both in person and on the phone.
Responsible for answering the Garda main phone lines and directing calls as appropriate.
Aid and temporary back-up to other support staff in the office.
Receive, sort and forward incoming mail and deliveries. Coordinate and manage outgoing mail services or shipping.
Must have reliable transportation to run office errands.
Coordinate the ordering, receiving, stocking and distribution of office & breakroom supplies.
Provide coordination and logistical support for meetings (assist with scheduling, room reservations, video requirements, meeting materials/presentation prep, catering).
Manage local conference room calendars, meeting requests and catering requests for the office.
Ability to lift and move office supplies and packages (up to 25 lbs).
Liaise with the global admin support team to coordinate tasks and deliverables as assigned. Ensure standardized admin processes, cost effective office management, event planning, etc.

Desired Qualifications

Four-year college degree preferred
0-2+ years previous administrative/office support experience in a corporate environment
Strong attention to detail
Ability to prioritize and multi-task appropriately
Strong computer skills (Microsoft Office)
Self-starter, able to work in a highly dynamic environment with a high degree of autonomy
Excellent telephone etiquette and demonstrated ability to deal professionally with a variety of people at all levels internally and externally

The Global Admin team plays an integral role in supporting the success of Garda's various operational functions and client-service businesses. Behind the scenes of every big meeting, internal group function, and deadline met is the admin team who ensures each detail is meticulously handled. Our team members work collaboratively and apply their specialized knowledge and experience to help deliver the best service to Garda's employees and clients.
