About HTC Commercial Flooring

HTC Commercial Flooring is a growing commercial construction company seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO and executive leadership team.

This is an excellent opportunity to work directly with company leadership, gain exposure to all aspects of business operations, and build a long-term career within a successful and expanding organization. The ideal candidate is professional, resourceful, and capable of managing multiple priorities while maintaining a high level of confidentiality and attention to detail.

Commercial flooring or construction industry experience is preferred but not required.

Key Responsibilities

Manage executive calendars, appointments, meetings, and travel arrangements.
Organize and prioritize daily schedules to maximize executive efficiency.
Monitor, organize, and assist with email correspondence.
Prepare reports, presentations, meeting materials, and executive summaries.
Attend meetings, document action items, and ensure timely follow-up.
Track projects, deadlines, and ongoing initiatives across multiple departments.
Coordinate communication with customers, vendors, subcontractors, manufacturers, and internal teams.
Assist with planning company events, meetings, and industry networking opportunities.
Maintain organized records, files, and confidential documentation.
Anticipate executive needs and proactively resolve issues.
Serve as a liaison between executive leadership and internal and external stakeholders.
Ensure commitments, deadlines, and business opportunities are effectively tracked and completed.

Qualifications

2+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, Office Coordinator, Project Coordinator, or in a similar role.
Commercial construction, flooring, subcontractor, or related industry experience is preferred.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Ability to manage multiple projects and priorities simultaneously.
High level of professionalism, discretion, and confidentiality.
Strong attention to detail and problem-solving abilities.
Self-motivated with the ability to work independently.
Proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint.

This role plays a critical part in allowing leadership to focus on strategic growth and company initiatives.
