Full Job Description

Mid-Hudson Security Consultants is seeking a highly organized, professional, and dependable Executive Assistant. This position serves as the CEO's primary administrative and operational support while helping ensure the smooth day-to-day operation of both our security company and training center.

The Executive Assistant is responsible for managing communications, coordinating schedules, supporting business operations, assisting with staffing and training activities, and helping execute strategic initiatives. The ideal candidate is detail-oriented, proactive, resourceful, and capable of maintaining professionalism in a fast-paced environment.

Because this position works directly with the CEO, frequent communication is essential. The successful candidate must be comfortable handling last-minute assignments, adapting to changing priorities, and remaining available for time-sensitive business communications when operational needs arise.

Primary Responsibilities:

Executive & Administrative Support

Manage a high volume of incoming phone calls and emails with professionalism and accuracy.
Return calls and follow up with clients, applicants, vendors, and employees.
Manage the CEO's calendar, appointments, scheduling, and daily priorities.
Accompany the CEO to business meetings, take detailed notes, and provide follow-up reminders and action items.
Assist in preparing correspondence, reports, proposals, presentations, and business documents.
Maintain a clean, organized, and professional office environment.
Perform general executive and administrative duties as assigned.

Training Center Support

Assist students with registering for New York State Security Guard Training courses.
Answer questions regarding course schedules and licensing requirements.
Assist with interviewing and screening employment applicants.
Upon completion of required training and certification, perform fingerprinting services for scheduled appointments through our authorized fingerprinting partner.

Operations Support

Receive, organize, and reconcile employee timesheets for payroll processing.
Send payment reminders and assist with light billing and administrative accounting tasks.
Maintain company uniform inventory, issue uniforms, monitor inventory levels, and coordinate replacement orders.
Assist with maintaining employee records and operational documentation.
Support day-to-day office operations and special projects as assigned.

Business Development

Assist with sales, marketing, and business development initiatives.
Help prepare proposals, presentations, and client communications.
Support client relationship management and follow-up activities.

Schedule:

Monday: 9:00 AM – 3:00 PM

Tuesday: 9:00 AM – 3:00 PM

Wednesday: 9:00 AM – 3:00 PM

Thursday: 9:00 AM – 3:00 PM

Friday: 9:00 AM – 3:00 PM

Holidays Off (Unpaid)

Requirements

Must successfully complete a two-week paid introductory evaluation period at a reduced hourly training rate. This period allows the employee to learn the position while giving both the employee and Mid-Hudson Security Consultants the opportunity to determine whether the role is a good long-term fit before transitioning into the regular position.
Demonstrate professionalism, reliability, discretion, and exceptional organizational skills.
Excellent written and verbal communication skills.
Strong multitasking, time management, and problem-solving abilities.
Ability to prioritize assignments and adapt to changing business needs.
Maintain confidentiality and exercise sound judgment when handling sensitive information.
Proficiency with Microsoft Office, Google Workspace, email, and general office software is preferred.
Must possess excellent customer service skills and maintain a positive, team-oriented attitude.
Must be willing to occasionally travel with the CEO for business meetings, client visits, conferences, training events, and other company functions. Company-provided transportation, separate lodging accommodations, and approved travel expenses will be provided for all authorized overnight travel.
Must maintain a professional appearance and represent Mid-Hudson Security Consultants with the highest level of integrity and professionalism at all times.

Preferred Qualifications

Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or in a comparable administrative role.
Experience in customer service, scheduling, office administration, or executive support.
Experience working in the security industry, public safety, law enforcement, military, or another regulated industry is considered an asset.
