Job Overview
We are seeking an energetic and detail-oriented Part-Time Automotive Service Receptionist to join our dynamic team. In this vital role, you will be the friendly face and efficient coordinator at the front desk, ensuring smooth communication between customers, technicians, and management. Your positive attitude and organizational skills will help create a welcoming environment for clients while managing appointment scheduling, customer inquiries, and administrative tasks with precision. This position offers a fantastic opportunity to develop your office management skills within a fast-paced automotive setting.

Qualifications

The ideal candidate has a high school diploma and previous retail and/or customer service experience that includes money-handling and point-of-sale system experience
Strong communication skills, a positive attitude, and the ability to multitask in a fast-paced setting
Candidates must have a pleasant and courteous personality, strong administrative and organizational skills, good computer and internet skills, and an excellent customer service focus
Problem solving skills, including the ability to maintain composure under stress
Point-of-sale (cash register) and credit or debit card processing skills
Strong math skills and the ability to handle financial transactions rapidly and accurately in a fast-paced environment
Neat, clean, and professional appearance
Helpful attitude and friendly demeanor
Highly trustworthy and security conscious
Basic computer and Microsoft Office skills
Excellent verbal and written communication skills with a professional phone manner
Reliable, punctual, and team-oriented with a willingness to assist where needed
Must pass pre-employment background check, Motor Vehicle Record (MVR) check, and drug screening
Office equipment: phones, scanners, copiers

Responsibilities

He or she receives and processes payments for services rendered or parts and materials purchased and explains vehicle service recommendations to customers
Also answers incoming telephone calls and greets visitors in a friendly, interested, and helpful manner
He or she sets the tone for our store’s Sales/Service Department by being an outstanding listener and information source
In addition, he or she performs administrative duties and operates the telephone switchboard for call routing
Receives and processes payments for products and services
Operates the complete POS system and other required software
Accepts responsibility and accountability for his or her money drawer
Coordinates questions and issues with the appropriate department personnel
Addresses customer concerns and issues or escalates them as needed
Helps with clerical/office tasks, such as scheduling appointments, maintaining records, sending bills, answering phones, ordering supplies, etc
Ensures that all customer contact information is up-to-date and accurate
Greets all customers in a warm, sincere, and helpful manner
Answer store group phones and directs calls as necessary
Handles customer complaints or escalates when necessary
Provides administrative assistance as needed
Performs other duties as assigned

Requirements

Proven experience in front desk or office roles, preferably within an automotive or service environment
Strong computer skills including proficiency in Microsoft Office, data entry, and basic bookkeeping software such as QuickBooks
Excellent phone etiquette with experience handling multi-line phone systems and providing outstanding customer support
Exceptional organizational skills with keen attention to detail and accuracy in proofreading and data entry
Ability to multitask efficiently in a fast-paced setting while maintaining professionalism and positive attitude
