Box Acupuncture is San Jose's premier acupuncture clinic in the Bay Area! We are looking for an amazing Front Desk Patient Coordinator to join our constantly growing practice. We work with patients of all backgrounds, including professional athletes and executive professionals.

This role is a true blend of people and numbers. You'll be the friendly face patients see when they check in and check out, the calm voice that answers their questions on the phone, and the detail-oriented person handling scheduling, insurance verification, billing, and payment processing behind the scenes. We need someone who's just as comfortable building rapport with a nervous first-time patient as they are double-checking an insurance eligibility report. Our ideal candidate is a genuine people person — friendly, well-spoken, and warm — who is also sharp with numbers and detail-driven when it comes to billing and insurance work. Prior experience in customer service and/or medical billing is preferred, and previous experience in a medical office is a big plus.

If you can build this position into your own and become independent without relying on others, this position is for you. If you are timid or shy, or uncomfortable switching between patient-facing work and detail-heavy billing tasks, this position is not for you.

This position can grow into an Assistant Insurance Claims Biller or Assistant Front End Manager role, with increased responsibility and financial growth as our practice expands.

Your goal will be to ensure the smooth workflow of our clinic — from the moment a patient walks in or calls, to the moment their visit and payment are wrapped up — so that our patients receive the best possible care without disruption or billing confusion. Further training and interest can grow into deeper claims and billing management responsibilities, or into assisting our acupuncturists with room turnover and patient flow.

Our clinic culture is that we work together to ensure patients are relaxed and enjoy the environment of receiving treatment. This means that we work as a team to ensure that we are all supported.

Responsibilities

Check patients in and out, and receive/assist patients as they move through the clinic
Answer phones and manage office communications (phone, email, correspondence) with a warm, helpful tone
Schedule and manage acupuncture appointments
Verify insurance eligibility and benefits prior to patient visits
Process invoices, collect payments, and reconcile daily transactions
Assist with insurance claims submission, follow-up, and correction of billing errors
Explain treatment costs, co-pays, and insurance coverage clearly to patients
Ensure confidentiality of sensitive patient and financial information
Maintain accurate patient records and billing documentation
Support patient flow and assist with room turnover as needed

Skills

A genuine people person — friendly, warm, and well-spoken with patients and practitioners
Prior experience in customer service, medical billing, or insurance verification is preferred
Comfort with insurance terminology (eligibility, EOBs, co-pays, deductibles, claims) is a big plus
Solid basic math skills — comfortable calculating treatment costs and reconciling payments
Responsible, punctual, and detail-oriented
Outstanding organizational and multitasking skills — able to shift between patient-facing and behind-the-scenes work
Patience and discretion when handling sensitive financial and medical information
High school diploma required; college coursework a plus
Spanish-speaking or Chinese-speaking a plus

Schedule

We are open 7 days a week and need someone available Saturdays and Sundays 8:30 AM-5PM, in addition to 1-2 weekdays a week. Total consistent working hours are at least 24 and up to 32 per week. We are looking for stable applicants for long-term employment as our practice grows — we want this position to be a lifelong career. Reliable transportation to and from this location is required. Punctuality is essential.

PTO and sick time are available after a 90-day probationary period, and 401(k) is available after a full year of work. FIGS scrubs will be provided after the initial 90-day probationary period.
