Job Title: Administrative – Permitting, Billing & Client Relations
Location: zellwood
Job Type: Full-timeJob SummaryWe are seeking a high-energy, bilingual Administrative Manager to oversee office operations and bridge the gap between our clients, field teams, and local municipalities. This vital role supports our aggregate production, demolition services, and brick paver manufacturing divisions. You will handle daily client communications, manage invoicing and billing, and ensure our projects stay legally compliant by pulling required municipal permits. Fluency in both English and Spanish is strictly required.Key Responsibilities

Client Relations: Act as the primary daily point of contact for residential and commercial clients regarding orders, schedules, and inquiries.
Permit Acquisition: Prepare, submit, and track local zoning, demolition, right-of-way, and environmental permits.
Billing & Invoicing: Manage daily billing, process client payments, issue invoices, and follow up on accounts receivable.
Bilingual Translation: Assist Spanish-speaking clients, vendors, and field crew members to ensure clear communication.
Office Coordination: Maintain organized digital filing systems for customer contracts, permit receipts, and manufacturing logs. [1]

Qualifications

Language: Native or professional fluency in both English and Spanish (written and verbal).
Experience: 3+ years of administrative or office management experience, preferably in construction, demolition, or manufacturing.
Permitting Skills: Hands-on experience navigating city/county building departments and pulling permits.
Financial Skills: Proficiency with QuickBooks or similar billing/accounting software.
Communication: Exceptional phone etiquette and customer service skills for daily client interaction. [2, 3]
