Job Overview

After more than 30 years, our current office manager is planning to retire. We wish her well in her new adventure and thank her for everything that she has done for us over the years. We are looking for the right person to take on this role, i.e., someone who will learn, understand and appreciate our firm’s history and culture and at the same time, bring new ideas and fresh eyes to the firm. We are very proud of who we are and what we have built. Our new law firm manager will be dynamic, organized, efficient, and empathetic, leading the daily operations of our legal practice in collaboration with others who have expertise in specific areas. Several of the core computer programs that we use for both legal and financial management were designed specifically for our firm. Anyone who joins us will have a significant learning curve adapting to these management computer programs and will need to be comfortable with evolving technologies, especially as some of these tools are new to us as well.

This vital role combines administrative expertise with leadership skills to ensure the office runs smoothly, efficiently, and professionally. The Office Manager will oversee a wide range of functions, including office administration, staff supervision, vendor relations, and financial management, all while fostering a positive work environment. Our firm is growing and evolving. The person who is well suited to this role will expect fluid responsibilities and requirements commensurate with the changing needs of our firm and profession. We are looking for someone who wants a long-term work “home” with our company family.

Responsibilities

Manage daily office operations, including overseeing administrative staff and ensuring seamless workflow.
Supervise clerical tasks such as filing, document management, and front desk duties to maintain an organized and welcoming environment.
Supervise the coordination of the scheduling for attorneys, staff, and client meetings using calendar management tools to optimize productivity.
Oversee vendor relationships, including office supplies, technology services, and other external providers, ensuring timely service delivery.
Handle human resources functions such as onboarding new employees, training & development initiatives, managing FMLA and similar regulatory requirements and maintaining employee records.
Oversee financial tasks including bookkeeping, trust and non-trust bank account activity and reports, payroll processing, budgeting, expense tracking and performance metrics.
Support and participate in firm events, periodic visits to satellite offices, and client engagement activities.
Maintain effective communication channels within the team employing phone etiquette and multi-line internet phone systems while overseeing front desk operations in multiple satellite offices.

Qualifications

Proven experience in office management within a professional or legal environment with supervisory experience preferred.
Strong organizational skills with the ability to prioritize tasks efficiently in a busy setting.
Proficiency in understanding regulatory and accounting reporting requirements for bookkeeping and payroll management.
Excellent communication skills - both verbal and written.
Experience with Microsoft Suite and ability to use and learn new computer software.
Knowledge of vendor management processes and human resources procedures.
Background in office administration highly desirable.
Demonstrated ability to supervise teams effectively while fostering a collaborative work environment.
Clear understanding of adherence to firm and ethics requirements for confidentiality of firm and client information.

Pay: From $32.00 per hour
