Full Job Description

Position Summary

The Parts Inventory Coordinator is responsible for managing and maintaining the facility’s maintenance parts inventory to ensure accurate inventory records, efficient parts availability, and controlled purchasing processes. This role oversees the organization and administration of maintenance parts inventory within MaintainX, coordinates purchasing and receiving activities, maintains accurate inventory records, and supports maintenance operations by ensuring technicians have timely access to required parts. The position works closely with the Maintenance and Accounting Department to support operational efficiency while maintaining proper inventory control and financial oversight.

Skills and Responsibilities

Inventory Management: Maintain accurate records of maintenance parts, tools, and supplies within the MaintainX system. Monitor stock levels, maintain organized inventory locations, and ensure inventory quantities accurately reflect physical inventory.
Inventory Organization: Organize and maintain the maintenance of storeroom to ensure parts are properly labeled, categorized, and stored in designated bin locations. Maintain clean and orderly storage areas to improve accessibility and efficiency.
Cycle Counting and Accuracy: Conduct periodic cycle counts of maintenance inventory to verify inventory accuracy. Investigate discrepancies and coordinate adjustments as needed to maintain reliable inventory records.
Purchasing: Responsible for managing the purchasing process for maintenance parts and supplies. Monitor inventory levels and reorder points to ensure adequate stock is maintained to support maintenance operations. and issue purchase orders to vendors, track order status, and follow up to ensure timely delivery of required parts.
Vendor Coordination: Maintain preferred vendor relationships and coordinate with suppliers to resolve order discrepancies, backorders, and delivery issues. Work closely with the Accounting Department to ensure proper documentation of purchases, including purchase orders, packing slips, and invoices, and assist with invoice verification when necessary.
Order Processing: Receive incoming parts shipments, inspect items for accuracy and condition, verify quantities against purchase orders and packing slips, and update inventory quantities and cost information within the MaintainX system. Ensure parts are properly labeled and stored in designated locations within the storeroom.
Documentation and Record Keeping: Maintain accurate documentation related to inventory transactions, purchase orders, packing slips, and inventory adjustments. Ensure that all records are properly maintained for operational and accounting purposes.
Maintenance Support: Support maintenance technicians by assisting with locating parts, maintaining accurate inventory data, and ensuring parts are available for scheduled maintenance activities.
Reporting: Assist with preparing reports related to inventory levels, parts usage, purchase activity, and inventory accuracy.
Adaptability: Willingness to perform other work-related duties as assigned and support team needs as required.

Education and/or Work Experience Requirements

High school diploma or equivalent; additional technical or inventory management training is a plus.
Experience in inventory management, purchasing, or warehouse operations, preferably in a maintenance or industrial setting.
Familiarity with computerized inventory systems or maintenance management software preferred.
Proficiency in Microsoft Office (Excel, Word) and inventory management software

Attention to Detail: Strong attention to detail with the ability to maintain accurate inventory records and documentation.
Bilingual Communication: Effective communication skills and ability to work with vendors, suppliers, and maintenance staff. Fluency in written and spoken Bilingual in English and Spanish preferable; able to communicate clearly and professionally across teams.
Organization: Strong organizational and time management skills with the ability to manage multiple tasks and priorities.
Problem Solving: Ability to identify inventory discrepancies, investigate issues, and support resolution of inventory and purchasing challenges.
Work Ethic and Adaptability: Flexible and self-motivated with the ability to multitask and thrive in a fast-paced cold storage facility.
Technical Skills: Ability to use inventory systems, maintain records, and understand equipment part specifications.

Physical Requirements

Regularly required to sit, walk, and stand; talk and hear.
Use hands to finger, handle, feel, or operate objects, tools, or controls; reach with hands and arms.
Climb or balance; stoop, kneel, crouch, or crawl; and perform repetitive movements of hands or wrists.
Frequently required to lift up to 50 pounds unaided.
Specific vision abilities required for this job include close vision and the ability to adjust focus.
Subject to moving mechanical parts, fumes, or airborne particles, toxic or caustic chemicals, risk of electrical shock, and explosives.
Continually required to speak and listen
Ability to work in a cold environment (33º – 40ºF).
