Day By Day Nursing Services

Seattle, WA

Fulltime | 5 Days per Week | In-Office

Full-Time Growth Based on Performance and Company Needs

Position Overview

Day By Day Nursing Services is seeking an experienced, highly organized, and tech-savvy administrative professional to support daily in-office operations. This role is responsible for maintaining organized documentation, coordinating client payment handling, supporting caregiver administrative needs, tracking company equipment, and serving as the first point of contact for incoming office calls. We are looking for someone who is detail-oriented, structured, confident on the phone, and comfortable working independently in a professional office setting. This is an operational support role - not a sales, clinical, or bookkeeping position.

Key Responsibilities

Mail & Client Payment Processing

Check office mailbox on assigned days
Log all client payments received (date, client name, amount, check number)
Photograph checks and notify leadership upon receipt
Prepare and complete bank deposits as assigned
Print and mail paper billing notices when required
Receive and organize incoming packages and deliveries

Documentation & Records Management

Maintain accurate and organized client and employee paper files
Upload required documents into AxisCare accurately and promptly
Archive inactive client and employee records appropriately
Ensure filing systems remain structured, organized, and compliance-ready
Maintain organized digital document storage systems

Caregiver Administrative Support

Assist caregivers with access to Continuing Education (CE) modules
Support credential updates and documentation uploads
Provide in-office computer access for certifications (e.g., Food Worker Card testing)
Prepare and organize orientation paperwork
Provide basic technical support during caregiver onboarding and training

Equipment & Inventory Coordination

Maintain accurate inventory log of company-issued equipment (monitors, bed cots,
wheelchairs, etc.)
Track equipment assigned to clients
Coordinate equipment return when care ends or upon notification of a client’s passing
Log returned equipment and ensure proper storage

Front Office & Communication Support

Serve as the first point of contact for incoming office calls
Answer calls professionally and route appropriately
Take detailed messages and log new inquiries
Monitor and respond to general office email inbox within defined scope

Calendar & Internal Coordination

Manage internal team calendars
Schedule meetings and training sessions
Send calendar invitations and reminders
Track caregiver attendance at training days
Prepare office space for scheduled meetings and trainings

Office Operations Support

Order and maintain office supplies
Maintain a clean, organized, and professional office environment
Support internal appreciation initiatives and team events as needed

Required Qualifications

Minimum 2–3 years of experience in office administrative support
Must be highly tech-savvy and comfortable learning new systems quickly
Strong experience using Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
Proficiency in Google Sheets / spreadsheets, including creating and maintaining tracking logs
Experience managing calendars and scheduling
Prior experience serving as front-line phone support in a professional setting
Strong written and verbal communication skills
High attention to detail and organizational ability
Ability to maintain confidentiality and professionalism
Must have a reliable personal vehicle and valid driver’s license for local errands and bank deposits
