Full Job Description

Church Office Manager

Rooted in the American Baptist tradition, Grace Baptist Church of Blue Bell has a 150-year history of serving God and helping people in need. We seek a part-time office manager to fulfill administration and operational tasks, including secretary and receptionist.

Description and Responsibilities

The Church Office Manager is a regular part-time employee of the church hired by the Board of Trustees and on a day-to-day basis directly responsible to the pastor. The office Manager is responsible for the day-to-day administration of the church office, serving as office receptionist, secretary to the pastor and church, and assistant to the church treasurer.

Personal Qualifications / Skills Required

Ability to work independently, good time management skills, excellent people skills, ability to prioritize and solve problems, detail oriented, strong communication skills and ability to work well as part of a team.
Has essential personal characteristics for the position including integrity, positive cheerful attitude, maturity, administrative skill and ability to keep confidences.
Proficient with all MS Office Applications
Proficient with email marketing applications and other graphic design applications such as Canva , Adobe Express, VistaCreate or equivalents.
Willingness to learn new skills.
Two plus years' experience in church, non-profit or small business preferred or other executive assistant / office management experience preferred.

Specific Duties

Receptionist answering telephone, relaying messages to church staff and greeting persons who come into the office, receiving deliveries, etc.
Secretary to the pastor and church. Tasks include typing, making copies, file documents, pick up and distribute mail to staff and members, maintain church calendar, attend to incoming email.
Order church or office supplies when necessary, through vendors.
Mail packages and letters; purchase postage and other materials.
Prepare, type, and produce the church bulletin
Send weekly e-mail newsletter
Open bills, prepare vouchers, and put in appropriate mailboxes for approval
Print checks for bill payments and reimbursements for Treasurer's signature.
Create and disseminate flyers, advertisements, posters, forms, postcards, etc. as needed to remind of or publicize church events.
Keep record of Memorial Fund gifts, send acknowledgements, and inform necessary parties of memorial gifts that have been given.
Serve as communication liaison between staff including pastor, sexton, and others.
Create compelling visual environment at church updating bulletin boards seasonally.
Maintain and update the church website
Provide updates to the church FB page and work with staff to increase church presence on other social media platforms
Work with pastor to create stories and reels to be posted to church FB page and other social media platforms.
Create bi-monthly or quarterly newsletter. Send out digitally via Constant Contact.
Keep Book of Records and Power Church database list current.
Produce and Copy special services bulletins (IE weddings, funerals)
Update and produce the church membership directory.
Complete ABCUSA and PBA information reports.
Compile the annual report for annual church meeting.
Update the administrative handbook for church officers and board members.
Update and maintain various lists such as vendor list and key assignments as needed.
Make informed recommendations for purchasing or leasing to trustees when office equipment needs to be replaced

Evaluation Process

An evaluation will be done following the first three (3) months and six (6) months of employment. Subsequent reviews shall be conducted by the pastor and Trustees on an annual basis, unless more frequent reviews are warranted.

Additional Consideration

Must comply with the requirements of Grace Baptist’s Personal Protection Policy, including background checks and health guidelines. This position is part time 9 am -1 pm Tuesday-Friday and reports directly to the Pastor. Applications and Interviews Conducted on rolling basis until position is filled. Start date is late May although could be sooner or later for the right candidate.
