We are seeking a motivated Customer Account Specialist to support and grow our customer relationships. This mid-level role combines customer account management with order processing, quoting, and cross-functional collaboration.

Key Responsibilities:

Customer communication & order management
- Serve as the primary contact for designated accounts — responsive, professional, and proactive
- Prepare and deliver quotes and proposals; follow up to advance opportunities and close business
- Process and track orders end-to-end, ensuring pricing compliance and accurate documentation
- Send order acknowledgements and keep customers informed on status and shipping
- Maintain complete electronic customer files — lab projects, price lists, quotes, standard notes
- Provide account management support to strengthen long-term customer relationships
Process improvement & systems
- Lead development and ongoing improvement of processes for quoting, order entry, and customer documentation
- Implement standardized naming conventions and quoting workflows to improve speed and consistency
- Leverage ERP and CRM systems to automate manual tasks and improve reporting
- Develop and maintain work instructions and business processes in line with quality management standards
- Support evaluation and rollout of system upgrades as assigned
Data, reporting & cross-functional support
- Create and maintain item numbers, product descriptions, cross-reference lists, and customer price lists
- Produce routine and ad hoc reports on quote turnaround, order accuracy, on-time delivery, and customer responsiveness
- Coordinate internally on sample requests, open orders, and special projects; support the Account Executive and Business Development Manager
- Build and maintain cross-functional relationships to drive problem-solving and continuous improvement
- Provide backup coverage for Sales Team members during absences or high-volume periods
- Assist accounting with credit and collections activities as needed
- Support export compliance activities including audits, procedure development, and information gathering
- Contribute to strategic initiatives and special projects as assigned

Qualifications:

3–5 years of inside sales or customer support experience (B2B or manufacturing preferred)
Strong communication, organization, and multitasking skills
Experience with CRM/ERP systems
Ability to work independently and collaboratively in a fast-paced environment
Bachelor's degree preferred or equivalent experience
To conform with US export regulations and ITAR 120.15 and EAR Part 772, incumbents for this role must be eligible for any required authorizations from the US government.

This role is ideal for a proactive, detail-oriented professional who enjoys working across teams and taking ownership of results.
