Overview

We are seeking a dedicated Seafood Office Administrator to join our dynamic team. This vital role involves managing daily office operations, coordinating communication, and supporting administrative functions within the seafood industry. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office management tools. This position offers an opportunity to contribute to a thriving business committed to excellence and efficiency in seafood distribution and customer service.

Key responsibilities include overseeing front desk operations, handling multi-line phone systems, managing data entry and filing, and supporting client and vendor communication. The Seafood Office Administrator will also assist with bookkeeping tasks using QuickBooks, maintain confidentiality of sensitive information, and ensure smooth office workflows. Bilingual skills are highly valued to facilitate effective communication with diverse clients and partners.

This role emphasizes professionalism, attention to detail, and proactive problem-solving to support our company's growth and operational success.

Responsibilities

Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
Handle incoming calls, provide accurate information, and direct inquiries to appropriate team members using excellent phone etiquette
Manage calendar appointments, schedule meetings, and coordinate office activities efficiently
Perform data entry tasks accurately into various systems, including QuickBooks for bookkeeping purposes
Maintain organized filing systems for invoices, client records, vendor documents, and confidential information
Support office management functions such as supply ordering, document preparation, and general administrative support
Assist in client communication by responding promptly to inquiries via email or phone while maintaining a professional tone
Support bookkeeping activities including invoicing, expense tracking, and bank reconciliations using QuickBooks
Handle confidential information with discretion and ensure compliance with company policies
Provide personal assistance to team members as needed to facilitate smooth daily operations

Experience

Previous office experience in administrative or clerical roles within the seafood industry or related fields preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills
Experience using QuickBooks or similar accounting software for bookkeeping tasks
Demonstrated ability in data entry, filing, and managing multi-line phone systems effectively
Bilingual abilities are highly desirable to support diverse client interactions
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Excellent customer service skills combined with professional phone etiquette and clear communication abilities
