Full Job Description

Purchasing Coordinator

Location: Passaic, New Jersey
Job Type: Full-time
Pay: $25–$32 per hour, based on experience

We are an established architectural millwork manufacturer seeking an organized and detail-oriented Purchasing Coordinator to join our team in Passaic, New Jersey.

The Purchasing Coordinator will support our purchasing activities from initial requisition through delivery. This position works closely with project managers, engineering, production, accounting and outside vendors to ensure materials are ordered accurately, delivered on schedule and properly documented.

Responsibilities

Prepare and issue purchase orders based on approved requisitions and project requirements
Obtain pricing, availability and delivery information from vendors
Track open purchase orders and follow up on late or incomplete deliveries
Track and purchase stock items for inventory
Coordinate material requirements and delivery schedules with project managers and production
Review vendor quotes against RFP information for accuracy
Review order confirmations for pricing, quantities, specifications and delivery dates
Maintain accurate purchasing and vendor records
Help resolve shortages, damaged materials, pricing discrepancies and invoice issues
Match purchase orders with packing slips and vendor invoices
Communicate purchasing status and potential delays to the appropriate team members
Assist with vendor research, quote comparisons and cost-saving opportunities
Build and maintain productive relationships with suppliers

Qualifications

Prior purchasing, procurement or material-coordination experience
Experience in manufacturing, construction, architectural millwork or a related industry is preferred
Experience with Sage accounting is a plus
Strong organizational skills and attention to detail
Ability to manage multiple orders, deadlines and priorities
Clear written and verbal communication skills
Comfortable communicating with vendors and internal departments
Proficiency with Microsoft Excel, Outlook and purchasing or ERP software
Ability to read purchase requisitions, specifications and basic project documentation
Dependable, proactive and comfortable following up until issues are resolved

The ideal candidate takes ownership of assignments, catches details before they become problems and understands the importance of receiving the correct materials at the correct time.

Pay: $25.00 - $32.00 per hour
